What this opportunity involves:
The Facilities Maintenance Administrator will play a crucial role in developing, implementing, and monitoring the planned preventive maintenance program for our commercial and retail properties. Working closely with internal stakeholders, external service providers, and our Group Property team, you will utilize our Integrated Workplace Management System (IWMS) to streamline administrative tasks and ensure efficient operations.
An Overview of the role:
- Assist in the development, implementation, and monitoring of the planned preventive maintenance program for designated properties.
- Utilize the IWMS for day-to-day management of administrative tasks, including work order updates, invoice queries, and processing of manual/ad-hoc invoices.
- Reconcile supplier service reports and generate routine maintenance completion reports.
- Update simple/minor preventative maintenance schedules.
- Manage contractors, including tracking KPIs and monitoring performance against SLAs.
- Evaluate vendor procurement and management practices and benchmark services across the portfolio.
- Liaise with internal stakeholders such as leasing, finance, compliance, projects, and operations teams.
- Foster effective working relationships with internal customers and service providers.
- Promote a customer-centric corporate culture by exemplifying excellent customer service.
- Display behaviors that encourage productive working relationships and a strong performance culture.
- Collaborate with other corporate services functional teams to maximize synergies and mitigate potential risks.
- Support a fair, challenging, and rewarding workplace.
- Ability to communicate and influence both internal and external stakeholders at all levels.
- Exceptional customer service and problem-solving skills, with a focus on innovative solutions.
- Experience implementing and managing quality systems and auditing methodologies.
- Knowledge of facilities management principles and methods.
- Tertiary qualifications in a related business discipline preferred.
- Strong proficiency in MS Office suite.
- Familiarity with property services infrastructure is a plus.
