5 week temporary admin support role

Their team is dedicated to maintaining high standards and ensuring compliance with safety regulations. We are currently seeking an Administrative Support Officer to join their Marine Operations department on a 5-week temporary assignment, commencing 21st May and finishing 28 June.
Your new role
The Administrative Support Officer will directly assist the General Manager Marine Operations (GMMO) while also fulfilling specific responsibilities across all departmental managers. Key duties include providing secretarial and administrative support to the GMMO, managing the Company's Safety Management Systems as the Document Control Officer, and handling general administration tasks.
What you'll need to succeed
- To provide secretarial, organisational and administrative support to the General Manager, Marine Operations and other department managers.
- Perform the functions of the Document Control Officer as required by the Safety Management System.
- Make bookings for vessel movements.
- Coordinate and assist in the induction of contractors.
- Assist with contractor and third party attendance and security notifications.
- Organise department travel requirements.
- Prepare Microsoft PowerPoint presentations, Microsoft Excel spreadsheets and Microsoft Word documents.
- Provide administrative support to the GMMO including filing and preparation of draft and final responses to correspondence.
- Organise meetings including agendas, minute preparation and minute taking when necessary, and distribution.
- Preparing monthly safety reports for the board of directors.
- WHS Committee member, Marine Operations representative.
- Provide Marine Operations Injury Master reviews/updates on a weekly basis. Assist with the close out of incidents.
- First point of contact for third parties visiting the vessels.
- Maritime Security Identification Card (MSIC) Company Representative Verifier.
- Organise Senior Management Safety Committee meetings. Prepare and distribute minutes, and follow-up action items.
- Integral member of the Incident Management Team (IMT).
Have demonstrated the ability to liaise between departments utilising excellent verbal and written communication skills.
The ability to multitask, prioritise and work to deadlines.
