YOUR ROLE IN A NUTSHELL:

The Media Reconciliation Lead, with the support of the GBS India processing teams, is responsible for the end-to-end media account reconciliation process which includes identifying, tracking and resolving discrepancies between invoices received and bookings loaded into our systems, and compiling invoices due for payment in the monthly payment run. The role requires a high level of accuracy and attention to detail to ensure the high-volume query resolutions are addressed to a high standard and in a timely manner.

Specifically, the Media Reconciliation Lead’s onshore responsibilities will be to manage business services and engagement, resolving Media Reconciliation queries timely, oversee service levels and process performance ensuring critical processing timelines are achieved and providing effective training and support offered to the GBS India processing teams in their allocated group.

KEY RESPONSIBILITIES: 

The key responsibilities of this role are as follows:

1. Media Reconciliations

  • Own portfolio of accounts as agreed with management and ensure accurate processing which is completed to deadlines.
  • Liaise with media buyers and media owners regarding discrepancies and work with both to resolve
  • Resolve and process Media Reconciliations to clear queries with support from GBS India
  • Analyse creditor payments made to ensure accuracy
  • Monitoring performance against Key Performance Indicators’ (SMD/BI Reports) and taking action where required
  • Oversee the development and maintenance of processes and operating procedures
  • Provide expert assistance to stakeholders
  • Any other duties as reasonably requested

2. Transforming our processes

  • Support ad hoc and continuous improvement projects driven internally by Finance initiatives
  • Continually challenge existing processes with the aim of Identifying process improvement opportunities
  • Regularly review existing workflows to identify opportunities and support cross functional teams to drive improvement across the end-to-end process and systems landscape

3. Team Management 

  • Oversee the day to day running of the function with the GBS India Process Lead
  • Act as escalation point for complex queries
  • Oversee the training and develop of the offshore GBS India team through the transition and on process changes and system upgrades
  • Attend weekly management meetings to represent the Media Reconciliation requirements
  • Account Query management for user and approver (workflow only) within SMD to enable effective account query within SMD system

4. Team Membership

  • Demonstrate and encourage a culture of continuous improvement and collaboration
  • Input into GBS India team performance conversations
  • Actively participate in team and other meetings
  • Practice courteous assertiveness during all interactions
  • Demonstrate the behaviours expected from the team and customers
  • Provide a strong emphasis on providing 'needs based' customer service
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; and establishing personal networks
  • Escalate matters to management as appropriate

Skills and qualifications

  • Extensive Media Reconciliation experience
  • Strong written and oral communication skills
  • Ability to build relationships and work in a team environment
  • Sound and extremely accurate data entry
  • Intermediate Excel skills desirable
  • Prior experience working with an ERP, electronic workflow solution or SMD is desirable
  • Well organised with the ability to prioritise workloads and take personal responsibility for own work outcomes
  • Flexible attitude and a desire to be part of a team
  • Sound numerical skills
  • Strong attention to detail
