Position Summary
The Medical Workforce Unit is responsible for providing strategic and operational service, supporting the employment of medical staff and the Medical Workforce needs of Peter Mac.
Specifically, it provides administrative management support to the Chief Medical Officer, Medical Directors, Department and Unit Heads in the recruitment of all medical staff and in ongoing employment and rostering management of medical staff at Peter Mac.
This unit will provide comprehensive coordination and processing of Medical Workforce administration at Peter Mac.

ESSENTIAL REQUIREMENTS
- Demonstrated work experience in Medical Workforce unit with a minimum of twelve months experience working in a similar level position in a health service
- Strong customer service skills, able to communicate effectively and respectfully with all stakeholders
- Strong communication and stakeholder management skills
- Demonstrated skills in the use of IT systems, preferably in a health care setting
- Competent in use of the Microsoft Office Suite
DESIRABLE REQUIREMENTS
- Tertiary qualified in Business or Human Resources related discipline or a number of years’ work experience in an administration setting
- Knowledge and or experience in Medical Workforce management
- Experience developing and implementing administrative policies and procedures
- Experience leading quality improvement projects
- Demonstrated understanding of recruitment process and compliance requirements for medical staff

1. Medical Workforce
Under the direction of the Manager Medical Workforce Unit key responsibilities include:
- Process the end-to-end credentialing and employment contracts for all medical staff
- Coordination and processing of recruitment and on boarding of all medical staff (Senior Medical, Fellows, Registrars, HMOs, observers, and visiting overseas staff)
- Coordination and processing of the administrative processes for the commencement and termination of Senior Medical Staff (SMS) & Junior Medical Staff (JMS) contracts and honorary appointments for all medical staff
- Create and maintain Medical Workforce manuals and documentation for the management of the Medical Workforce
- Processing of the continuing medical education (CME) CMO signatory (or delegate) within agreed timelines and within allowable allocation as per Enterprise Agreement
- Maintain Specialist Training Program (STP) funding reporting externally to the Royal
Australian College of Physicians (RACP) and invoicing functions on behalf of the Directors
ï‚· Maintain contracts register for Clinical Service Agreements with other health services on behalf of the Directors, notifying the Directors in advance of contracts due for renewal
- Coordinate retrospective study applications
- Work in partnership with the MBS Data team to design and deliver quarterly reports to
the CMO and CFO reconciling all medical staff provider numbers and health fund
registration numbers against iPM, PBRC and other relevant databases
- Identify opportunities to improve standardised processes and procedures relating to management of Medical Workforce, lead, and support change initiatives as required.
2. Provide technical content leadership and expertise
- Manage specialist technical portfolio and provide technical leadership and
recommendations to management in the designated area of expertise
- Develop and present training programs for Medical Workforce as required.
3. Provide exceptional
customer service
- Contribute to maintaining the team's high level of customer service to staff within a
designated team or portfolio
- Proactively respond to staff feedback (positive and negative) in relation to the team and individual's performance.

- Manage reporting requirements as required and provide to the manager and other key

- Work cooperatively as part of the team and assist other areas and staff as necessary
- Ensure invoices from external providers are collated and processed by the team
- Other tasks as directed by your manager or appropriately delegated authority.
6. Stakeholder

- Attend and contribute to organisational committees and working groups
- Build and maintain relationships with key internal staff and external providers
- Work cooperatively with other departments to obtain assistance and/or influence others
in the achievement of set objectives.
