Job description

The Membership Coordinator and Volunteer Administrator plays a vital role in driving the membership program for RSPCA NSW, and to provide administrative support to the volunteer team and to volunteer branches generally.

We are recruiting for a full time Membership Coordinator and Volunteer Administrator on a maternity cover basis.

This role is based at our Sydney Support Office, however, this role can be performed at our Hunter Shelter, with travel required to our Sydney Support office once a fortnight to process membership payments.

About the Role
 
Management
  • Administer the entire membership program & manage the membership database and records
  • Develop and manage procedures for the membership program
  • Event management; obtain venue quotes, send invitations, agendas and confirming delegates, preparing documents and attend events and promotions
  • Provide high level reporting to the Executive Manager Volunteer Support Services
  • Manage projects and tasks
  • Assist with the strategy and direction of branches and support teams
  • Identify and implement systems, polices and processes which will improve monitoring, accountability & growth
  • Support members and Volunteer branches in recognising the importance of their contribution to the organisation
Administration
  • Helping members with their enquiries
  • Prepare and process membership applications and renewals, prepare and send paperwork to various volunteer branch locations
  • Diary and calendar management
  • Prepare invoices for authorisation and update all financial documents
  • Maintain positive effective relationships with members and internal stakeholders
  • Effectively communicate with people from diverse backgrounds
  • Proactively communicate with internal stakeholders regarding concerns, opportunities, changes, performance and other related matters
Workplace safety
  • Identify risks and understanding their impact
  • Support and promote policies and procedures that will eliminate or reduce risks
  • Maintain a high level of risk and compliance, work health and safety and governance
About You
  • Certificate II in Business Administration
  • Minimum 2 years’ experience in administration role, or equivalent
  • Demonstrated ability to facilitate meetings, conduct effective consultations with volunteers, community groups and organisations, government agencies, service providers and staff
  • Able to deliver exceptional results, on time and within budget to meet identified program requirements
  • Significant experience in the use of software and systems relevant to the role, CRM advantageous
  • Demonstrated ability in the implementation of processes and procedures to support RSPCA NSW objectives and customer expectation
  • Ability to accept responsibilities and accountabilities, whilst focused on delivering outcomes to meet RSPCA NSW objectives
  • Demonstrated relationship management, high level interpersonal and awareness skills with the ability to communicate clearly and convincingly and influence outcomes across all levels
  • Strong project, organisational and administration skills
  • High sensitivity to reputational risk
  • Conflict resolution, mediation and problem solving skills
