Job description

  • Part-time hours (25 hours) - open to a few days or school hours 5 days
  • No more driving to the city – amazing role based in Brisbane’s bayside!

Tired of travelling to the city – want to work close to home?  We have an exceptional opportunity for an experienced administrator to work for a small but highly successful business based at Capalaba.
  
This role is highly suited to an individual who has worked in a small business where you have been that true go-to and performed a broad role, preferably in the Construction or Building related industry or you have worked in Project Administration. 
  
Your ability to put processes and structure in place will add to your success as will your ability to be the key liaison person for both customers and suppliers.
  
Duties will include but are not limited to:
  
  • Help alleviate administrative tasks from the owner of the business – ensure he has everything he needs for meetings and help keep him organised!
  • Email management – respond to queries where you can or ensure the appropriate person responds in a timely manner
  • Ordering of office supplies but also ordering of materials for jobs
  • Ensure materials have been received in full and priced correctly. Follow up where issues or missing goods
  • Prepare quotes and assist with responding to tenders
  • Accounts – data entry into MYOB (orders, invoices, credit notes, timesheets, etc) and assist with following up on overdue accounts when required – work closely with external Bookkeeper/Accountant
  • Progress claims and payment variations
  • Schedule appointments for tradespeople
  • Set up and maintain job folders
  • Liaise with tradespeople and organise suitable times for them to visit customer premises
  • Maintain and check price lists are up to date
  • Preparation of contracts – ensure contracts reflect quotes issued, detailed drawings, contract milestones are clearly outlined and job board updated
  • Keep track of Job Costs and other reporting for the owner
  • Keep track of inventory and maintain correct stock levels for jobs
  • Ensure correct processes and authorisation gained for each job working closely with the team to keep them to deadline
  • Build strong relationships with customers and suppliers – be the first point of call and resolve queries where possible
  • Implement better processes and procedures within the office
  • Ad hoc administration
  
The ideal candidate will have the following skills/attributes:
  
  • Experience in Construction, Building, Trade or Project Administration experience preferred
  • The ability to deal with tradespeople and confident communication and negotiation skills
  • Broad experience required where you are used to multi-tasking and being that true go-to person within an office!
  • Team player attitude
  • Seeking part-time hours 25 hours over 3-5 days per week
