As our Office Coordinator (Receptionist) you will be the friendly, first-point of contact, ensuring the smooth running of our Head Office and caring for staff and visitors alike. You will be involved with inducting and IT troubleshooting for our staff and supporting the delivery of our great events on the phone, emails and on event site.

Key Duties and Responsibilities:

1. Coordinate the reception and office to be a welcoming and well-presented space for staff and visitors alike

2. Process incoming/outgoing correspondence via phone, email and mail with a focus on timely and friendly customer service to external and internal stakeholders

3. Support staff with IT systems by setting up workspaces, inductions and general IT trouble shooting

4. Coordinate the sourcing, ordering and arranging of catering and supplies for internal meetings and general office management (e.g. stationery, kitchen supplies)

5. Liaise with building manager and real estate agent around maintenance and servicing requirements for the office

6. Coordinate and assist with vehicle management, flight/accommodation bookings and calendar management for meeting rooms and fleet

7. Arrange suppliers for cleaning and other office management activities

8. Support the wider Corporate Service team with administrational needs in Finance, HR, Governance or EA roles

Selection Criteria:

1. Proven experience working in reception/ administration support within a corporate environment

2. Highly developed verbal and written communication skills

3. Resourcefulness and resilient with a helpful and polite approach

4. High computer literacy in Microsoft products as well as hardware set ups with proven experience in problem solving of common IT user concerns

5. Strong organisational skills including managing deadlines and conflicting priorities in a fast-paced environment.

6. Self-motivated with the ability to work autonomously and collaboratively across the office teams

7. Demonstrates high levels of accuracy and meticulous attention to detail

8. A willingness to go the extra mile with a positive and flexible attitude

9. Ability and willingness to work outside normal working hours including public holidays and weekends as and when required to support events delivery.
