Job Description

The Office Manager is responsible for managing and administering the Adelaide Superloop office and providing light IT support to the office as well as administrative support to local Senior Management. This role can be fast paced and requires precision and attention to details. We are searching for an enthusiastic Office Manager with capacity to run staff events and multitask as required in addition to daily duties.  

What will you do? 

Executive Assistant 

  • Efficiently and effectively manage the day-to-day operations of the assigned Senior Management. 

  • Provide strategic support to the Senior Management as and when required. 

  • Proactively work with the Senior Management’s to manage their dairies efficiently. 

  • Provide high quality and efficient company secretarial administrative support to the Company Secretarial team, the Board, and its committees. 

  • Maintain absolute confidentiality and professionalism. 

  • Draft strategic documents for the Senior Management, as and when requested. 

  • Ensure seamless operational support is rendered to the Senior Management Team such as making travel arrangements as per preferences, managing expenses etc. 

Office management 

  • Set appointments, conferencing and manage meeting room bookings; 

  • Organize company events and conferences. This could include, but will not be limited to, sales conferences, Christmas events, monthly celebration days and weekly snacks and drinks; 

  • Provide a vibrant office & kitchen area, that is clean, engaging and organized.

  • Manage office expenditure and budgets for our offices as required. This will include, but will not be limited to, coordinating orders for groceries, alcohol, postage and stationery supplies; 

  • Reconcile expenses incurred on a monthly basis ensuring that appropriate documentation is providing for all expenses incurred; 

  • Revise all travel invoices for reconciliation by our accounts team; 

  • Coordinate couriers for shipments; 

  • Prepare office communication; 

  • Support employees with travel and office related enquiries; 

  • Maintain security access, contact list and first aid registers; 

  • Perform general office and facilities management duties including: 

  • Manage inventory of office suppliers; 

  • Plan space allocations, layouts and floor moves; 

  • Arrange and supervise building maintenance & cleaning. 

  • Assisting with the project management of new office relocations and fit outs. 

  • Ordering catering for scheduled in house events (eg lunch and learns, IWD) 

  • Being an active representative of Adelaide in our social club, responsible for organizing events and social activities.  

IT Support

  • Light IT troubleshooting;
  • Assist IT team in deploying local IT support

The ideal candidate will have:

IT Support

  • Good technical knowledge of computer hardware and Office software.
  • Experience with Windows, Mac OS, Android, and Apple mobile devices.
  • Providing escalated telephone and basic face-to-face technical support to users regarding desktop, network, and audio-visual equipment issues.
  • Acting as an internal technical reference point for colleagues.
  • Assist IT projects requiring installations, software rollouts and upgrades.
  • Ensuring high-level technical queries are escalated to Network Engineers according to established procedures.
  • Provide corporate IT desktop/laptop/mobile support services to all employees in the business
  • Provide level 1 support to local internal users.

General

  • Strong written, verbal communication skills and time management skills.
  • An adaptable and team-oriented approach, with ability to proactively respond to the needs of the stakeholders you support.
  • High level of initiative, with an openness to own certain autonomous tasks and functions and tackle new challenges.
  • Strong customer service focus.
  • Strong interpersonal skills.
  • Excellent attention to detail

Preferred

  • Previous experience in similar multi-faceted role such as this.
