Your opportunity
The Port Authority of NSW is seeking a dynamic and organised individual to join the Port Kembla Operations team as an Operations Administration Officer.
This is an 18-month fixed term contract based in Port Kembla, with a possibility of extension based on business needs.
This role coordinates the administrative and operational functions in Port Kembla and supports the Head of Operations, Port Kembla, and South Coast.
Here’s how your impact will truly count:
- You’ll provide a comprehensive range of administrative and support services to meet the business needs of the operations team.
- You’ll coordinate and manage records and databases, adhering to administrative systems, and policies ensuring accuracy, proper storage, and accessibility.
- You’ll execute routine financial transactions and purchasing services, ensuring compliance with agency standards and procedures. This includes processing invoices for payment and submitting purchase requisitions for approval.
- You’ll organise and coordinate the procurement of office related goods and services aligning with organisation’s purchasing procedures to meet operational needs effectively.
- You’ll prepare, manage, and adjust the roster for the Marine Operations and Vessel Traffic Service (VTS) functions. Act as primary contact for team members regarding roster queries and managing leave/absences.
- You’ll provide secretarial support to Head of Operations – Port Kembla & South Coast when during formal engagements with internal and external stakeholders.
- You’ll extend ad hoc support to the Port Kembla team, including arranging accommodation, travel and addressing monetary requirements.
What you’ll bring
- Demonstrated experience in providing administrative services, preferable at a senior level, preferably in an industrial/blue-collar environment.
- High level of communication and interpersonal skill, with a commitment to maintaining confidentiality.
- Proven knowledge and understanding in applying procurement processes to ensure effective purchasing and contract performance.
We’d also love you to have:
- Ability to work with minimum supervision and to exercise independent judgement.
- High attention to detail with superior organisational skills to set work priorities and meet deadlines.
- Intermediate to advanced knowledge working with technology and systems, such as Microsoft suite and SAP.
