About This Role
We are searching for an experienced, highly organized, and resourceful Operations Assistant to join our team. This role is crucial for ensuring the quality and accuracy of ready-to-ship products and managing outbound sales orders. The successful candidate will perform meticulous quality inspections, coordinate with the warehouse, manage order fulfilment, and liaise with various stakeholders, including retail customers, freight companies, 3PL providers, and the warehouse team.

Main Duties/Responsibilities are, but not limited to: 

Quality Inspection:

  • Coordinate with the warehouse to receive the correct batch of products for inspection.
  • Inspect packaging, batch, and best before dates to ensure compliance with specifications.
  • Take detailed photos for filing and maintain organized records.
  • Fill in all reports into the dedicated system accurately.
  • Ensure all products meet specifications and usage standards.
  • Report any variances, concerns, or issues promptly to the Supply Chain Manager.
  • As part of the role, handle a handful of weekly deliveries of stock to our office, including occasionally lifting and inspecting a of food bags that may weigh up to 20kg – note, these are small deliveries of approx. 2-4 bags a week.

Outbound Sales Orders:

  • Check and verify outbound sales orders for accuracy.
  • Manually input orders into the system or upload orders and manage orders coming through EDI connections.
  • Liaise with the Operations & Logistics Coordinator to ensure all orders are submitted to the 3PL provider.
  • Follow up on orders and communicate with retail customers regarding any delays, changes, or issues.
  • Speak with retail customers, freight companies, 3PL providers, and the warehouse team as necessary to resolve any order-related issues.

Communication and Coordination:

  • Maintain effective communication with the Senior Operations Manager and other team members.
  • Ensure timely and accurate reporting of any quality inspection or order fulfilment issues.
  • Collaborate with various stakeholders to ensure smooth operations and customer satisfaction.
  • Assist with any additional tasks or projects as required by the Operations team.

Skills & Experience

  • At least 2 years of experience working in operations.
  • Certifications in logistics, quality control, administration, or related fields.
  • Familiarity with CRM systems and preferably experience with Inventory Management Systems.
  • Proficiency in Microsoft Suite at an intermediate level or higher
  • Meticulous attention to detail for quality inspections and data entry.
  • Excellent verbal and written communication skills for liaising with various stakeholders.
  • Strong organizational skills to manage multiple tasks and maintain detailed records.
  • Ability to identify and resolve issues quickly and effectively.

Working Conditions

  • This role may require occasional travel to the warehouse for inspections.
  • Standard working hours with occasional extended hours based on business needs.
  • Thorough training on our products will be provided.
  • Ability to lift and inspect food bags up to 20kg occasionally.

  • This is a hands-on role, so it requires someone that is self-motivated, highly organized with the ability to multi-task and to work autonomously.

  • Ability to work in the Brookvale office daily.
