An immediate/ASAP start opportunity for an ambitious support professional for one of Australia fastest growing business in the ecommerce space.
With offices in both Sydney and Newcastle, we are open to candidates in both locations.
- An Operations / Executive Assistant position supporting the Head of Operations and CEO execute key business projects such as a new office build, onboarding of staff, and supporting the Head of Ops to implement new systems and processes - this is a scale-up environment which requires someone to act beyond a job description
- Become an instrumental support across the business whilst focusing on being a true right hand - also manage the 'fun' things such as events & client engagements
- In one of the fastest growing global industries... e-commerce - work with some incredible brands along the way
- Working out of an Ecommerce hub in Alexandria (moving to a CBD location later this year) or the Newcastle office
Let's cut to the chase, here are the nuts and bolts...
- This extremely ambitious ecommerce business provides consulting services to some of Australia's largest and well-known retail brands. They also support new, up and coming brands that are only just starting out on their ecommerce journey
- You’ll work as an Operations / Executive Assistant to the Head of Operations who is one of the most passionate and talented professionals we've had the pleasure of working with
- On top of this you will also be supporting the CEO with facilitating events, conferences, media appearances, onboarding and international trips
- Whilst both the Head of Ops and CEO are seasoned professionals, they simply do not have the time to handle the range of admin tasks that can come through on a day to day basis
- You'll be creating presentations for new business deals, support with the building & creation of standard operating procedures and be the first point of contact for any external media requests
- There are plenty of other business projects that you'll be thrown into to handle the administration
- Adhoc support to the CFO, helping with a range of accounting responsibilities – creating financial reports on Xero, managing debtors, invoicing and enhancing workflow across this area when required
- A plethora of administration tasks relating to both BAU and new projects
- Email management and heavy calendar management for both the Head of Operations and CEO
- Execute various duties relating to the internal team, such as communication, new initiatives and becoming the go-to for general queries on behalf of the Head of Operations
- National and international travel management, flights, hotels, venues, cars
- Coordination of national roadshows, events and conferences
- Communication with VIP members, providing 5* customer service at all times
- Prepare presentations and various business documentation such as internal Board packs when required, agendas and any other corporate administration for the monthly meetings
- Maintain and manage central filing systems for all administrative work using
- ClickUp
- Google drive
- Wistia
- You are driven to GET THE JOB DONE, are super ORGANISED and are meticulous with the DETAIL – you can't finish a day without your list for tomorrow
- Your client service skills are not just ‘great’, they are EXCEPTIONAL and are coupled with a warm nature, sense of humour and a truly down to earth personality. You're ready to jump in with both feet on every task
- 100% service mentality - you will do whatever it takes to achieve a positive outcome
- Strong knowledge of Google Drive, Microsoft Suite and Zoom - experience with Xero and bookkeeping would be highly desired
- Career administration professional, with a stable work history
- Excellent attention to detail - you'll be proof reading and creating a lot of business documents
- Ability to work autonomously, employ initiative to find solutions, prioritise and exercise discretion
- You absolutely LOVE tech! Whilst you won't be coding or rebuilding a laptop you will be working with a team of digital natives therefore you must be able to fit into their 'world'. Remember, an entrepreneurial whiz who sets up an ecommerce business is going to an early adopter of software and new ways of working - you also need to be on board with this way of working
