We currently have the opportunity for a Operations Specialist to join the Future Students Unit on a fixed term basis reporting to the Chief Officer Future Students.
The role is responsible for contributing to the department’s strategic objectives and annual goals by delivering operational excellence and process improvements as well as the operational management for the FSU, our Education Agents and supporting our existing TNE partners across a range of operational needs, compliance, reporting, supporting growth and initiating process improvements.
This is a maternity leave cover from April 2024 – June 2025.
This position is responsible for:
Department Operations Support
- Ensure key reporting is provided to the department accurately and efficiently to support with decision making
- Create and manage dashboards for Board reporting
- Ensure all relevant policies and procedures are regularly reviewed and adhered
- Identify and implement process improvements and automations including inter-departmental workflows
- Lead department meetings including setting the agendas and providing secretariat support
- Lead or contribute to department-wide and cross-departmental initiatives and projects as required
Budgeting and financial management
- Lead the preparation of the annual department budget including monitoring of monthly accounts and investigating and reporting on variances
- Oversee all department procurement (contracts, purchase orders and invoicing)
TNE Partnership oversight
- Manage TNE partner relationships and operational needs, including the resolution of operational issues
- Oversee TNE partner performance and compliance reporting
Agent management
- Lead management of UTS College’s Agent Program to drive efficiencies and ensure compliance
- Lead the preparation and management of annual targets and agent funding and ensure alignment with budget
About you
To succeed in this role you must have:
- Minimum 5+ years relevant experience
- High numerical proficiency in procurement, budgets and reconciling accounts
- Demonstrated project management and business development experience
- Experience with data and analytics and ability to provide meaningful commercial insights using data
- Well-developed communication skills composing and delivering communication to internal and external stakeholders from culturally diverse backgrounds
- High level of stakeholder management skills
- Excellent time management skills and ability to manage multiple priorities and competing deadlines.
- Highly creative problem solver and comfortable working with uncertainty and incomplete data
- High degree of skill in Microsoft Office
