The Opportunity
Cochlear has an opportunity for a Personal and Team Assistant - Systems Development and IP based in our Sydney Office for a 10 month FTC - Mat leave cover. In this role, you will provide timely and accurate Team Assistant support through efficient administration to individuals and team members within designated R&D departments.
Responsibilities include:
- Provide personal assistant support including diary management – Internal and external meetings and maintain an accurate and up-to-date diary system, ensuring all related papers/information are on hand for all meetings and events
- Coordinate business travel – Conference registration, itineraries, visas, travel documentation, and associated expense reimbursement claims
- Provide administrative support to multiple department heads, key managers, project managers and all other department staff
- Organise team meetings and functions, including monthly meetings, social events, and team building exercise
- Management of the office including maintenance of machines, stationery, supplies, archiving, facilities requests and other ad hoc tasks
- Assisting department manager in tracking of departmental spending, particularly in terms of travel expenditure and software purchases
- Purchasing as per P2P Policy of various department goods and services

Minimum:
- Proven track-record in autonomously & proactively providing high level admin support to senior management and multiple teams
- Proven ability to provide work flexibly in a team environment to provide excellent customer service
- Self- starter that will take initiative
- Proven ability to think and act in a customer centric way
- Microsoft Office Intermediate/Advanced Level – Word, Excel, PowerPoint
- Ability to work to tight deadlines in a team environment
- Ability to develop and implement processes to improve the performance of the team
- Understanding of project management
- Experienced in senior assistant roles, ideally in a product development or service-oriented environment
- Exposure to and ideally an affinity with working in a culturally diverse environment
- Understanding and experience with a multinational environment, working across time zones
