We are seeking a highly organized and proactive individual to join our team as a Personal Assistant. The successful candidate will provide personalized administrative support to our company director Dr Connie Buckingham, helping to manage her schedules, tasks, and communications efficiently. The ideal candidate will be detail-oriented, resourceful, and capable of handling a wide range of administrative responsibilities with discretion and professionalism.
This is a part-time role within school hours, with negotiable days and hours. Preferably 4 hours a day, 4 days a week.
The successful Personal Assistant would support Dr Connie Buckingham in the day-to-day operations involved in managing two companies; The Allied Health Studio Collective, a multidisciplinary paediatric practice, and Social Stencil, a social emotional program for schools and clinics.
Responsibilities:
- Manage Directors calendars, schedule appointments, and coordinate meetings and travel arrangements.
- Screen and prioritize incoming calls, emails, and correspondence, responding on behalf of the Director when necessary and ensuring timely follow-up.
- Prepare and edit documents, presentations, and reports, ensuring accuracy and attention to detail.
- Assist with personal tasks and errands, such as booking reservations, arranging family events, and managing Director expenses.
- Act as a liaison between managers and internal/external stakeholders, conveying messages and requests accurately and efficiently.
- Handle confidential information with discretion and maintain strict confidentiality at all times.
- Anticipate Directors needs and proactively identify opportunities to streamline processes and improve efficiency.
- Conduct research on various topics as assigned, compiling relevant information and presenting findings in a clear and organized manner.
- Assist with special projects and initiatives as needed, providing administrative support and coordinating logistics as required.
- Foster positive working relationships with colleagues, clients, and partners, representing all companies in a professional manner.
Qualifications:
- Proven experience as a Personal Assistant, executive assistant, or similar role.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
- Strong communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
- Proficiency in Microsoft Office or Google suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Discretion and confidentiality are paramount, with the ability to handle sensitive information with tact and professionalism.
- Resourcefulness and problem-solving skills, with the ability to find solutions to challenges independently.
- Flexibility and adaptability, with a willingness to take on new tasks and responsibilities as needed.
- Professional demeanor and appearance, with a positive attitude and strong work ethic.
- Ability to work independently with minimal supervision, while also functioning effectively as part of a team.
