🌟 Join Our Team as an Exec/Personal Assistant! 🌟

You will be supporting our Principal dentists and Executive Leadership team. 

We're seeking a dynamic Executive Assistant to join our team on a part-time or full-time basis, flexible work arrangements (WFH 1day per week negotiable after probation period). As the right-hand person to our principal surgeons and executive team, you'll play a pivotal role in ensuring seamless operations and enabling our leaders to focus on driving success.

Responsibilities:

  • Diary and calendar management for Dr's. 
  • Mailbox management for exec as required
  • Taking calls/managing messages 
  • Daily schedule management and summary 
  • Manage correspondence 
  • Manage the diary, inbox for Principal dentist, assist with all travel, accommodation, liaise with other clinics to ensure surgical lists/travel plans are in place - preparing a itinerary for each 
  • Liaise with 3rd party stakeholders regarding training and development 
  • Boardroom booking management/scheduling 
  • Coordinate travel and accommodation as required 
  • Organise internal and external meetings including catering and venues
  • Prepare agendas, action items and meeting minutes 
  • Organise events & staff activities!
  • Prepare Power Point presentations and other documentation including training presentations
  • Process invoices and credit card expenses as required 
  • Maintain registers for insurance, registrations for Drs to ensure compliance
  • Assist COO with admin related tasks, registers, compliance, generating reports, database management and entry 
  • Ordering and managing office and kitchen supplies
  • Other ad hoc administration tasks as required

Additional Duties: Adapt to evolving priorities and assist with various administrative tasks as needed to support the executive team and optimize their productivity.

Qualifications:

Proven experience as an executive assistant or similar role

Exceptional organizational and time-management skills, with a keen eye for detail and the ability to multitask effectively.

Excellent communication skills, both written and verbal, along with the ability to interact professionally with internal and external stakeholders.

Proficiency in MS Office suite and other relevant software, with the ability to quickly learn new tools and systems.

Discretion and confidentiality when handling sensitive information is a must.
