About the role
We are looking for an experienced Production Coordinator to join our Product team. The role is responsible for ensuring the efficient coordination of the operations of our production cycle for our sun-protection apparel and accessories, managing processes from order creation to delivery. By coordinating with suppliers, updating inventory information in our systems, handling documentation, and optimising logistics, this role supports quality standards, supplier relations and process improvements. The Production Coordinator also supports bespoke customer and corporate orders, assists in problem-solving production and delivery issues, and works closely with the Merchandise Planning and Product Development teams.
Areas of responsibility
Production Coordination
- Create product and purchase orders (POs) using CIN 7 software and allocate barcodes.
- Maintain accurate records of shipping and delivery times, updating relevant systems and stakeholders as necessary.
- Coordinate with our production facilities on updates of samples, fabrics, and production status (Critical Path Managment) and ensure key dates are met.
- Coordinate quality assurance (QA) processes, including arranging third-party inspections and ensuring completion of inspection paperwork.
Documentation and Reporting
- Maintain delivery schedule and generate reports and share updates with the business regarding production progress.
- Managing shipping documentation, coordinating with factories and freight forwarders.
- Ensure accurate filing of paperwork and maintaining the Sharepoint infrastructure.
Logistics and Operations
- Coordinate packing lists and confirm shipments with suppliers, ensuring alignment with orders.
- Liaise with the operations team for domestic shipments, providing necessary documentation such as packing lists.
Supplier Relationship Management & QA
- Support in sourcing and supplier management activities.
- Championing internal quality assurance processes and working with suppliers to continuously improve production quality
- Constantly review and engage with suppliers for development and improvement opportunities.
Sample Management
- Manage the sample library to ensure easy access and organisation of samples.
- Manage photo shoot samples, ensuring they are available and properly tracked.
Skills and experience
- Minimum 5 years of experience in an offshore apparel production assistant role.
- Apparel and hats industry experience preferred – knowledge of garment construction
- Experience working with inventory software such as AP21/CIN 7.
- Strong attention to detail and ability to handle repetitive tasks efficiently.
- Continuous improvement mindset, always seeking ways to optimise processes.
- Collaborative nature with excellent communication skills.
- Proficient Excel Skills
