About the role

The Program Delivery Coordinator is responsible for managing program's logistics in line with the organisation's standards. The role focuses on client engagement and outcomes, and will take a variety of administrative, program management, and client support duties.

We are currently recruiting for a part time (0.8) vacancy until July 2025.

Key Accountabilities:

  • Successful coordination of programs and their administrative activities including (but not limited to):
    1. Developing and implementing program checklists/checklist templates including establishing program logistics/participant support requirements.
    2. All aspects of participant engagement and support.
    3. Working with participants from point of enrolment through to successful program completion, providing support as needed in line with project plans and participant engagement and support processes determined.
    4. Liaising with key internal stakeholders and determining and documenting project plans.
    5. Managing data in the Customer Relationship Management system (FileMaker).
    6. Managing data in the Learning Management System (Canvas).
    7. Venue liaison.
    8. Webinar set up/administration.
    9. Technical support (including providing technical support after hours on occasion).
  • Completion of all administrative activities with efficiency and accuracy.
  • Providing ongoing punctual, proactive and friendly support to participants, with a focus on participant engagement and outcomes.
  • Ensuring compliance with company policies and procedures.
  • Building positive relationships with clients and participants.
  • Providing rescheduled coaching outcomes in line with guidelines.
  • Formulating participant solutions in the event of customer complaints.
  • Raising and taking ownership of process improvements that enhance business operations and participant engagement.
  • Support and provide backup to the Participant Learning Hub teams when required.
  • Other Ad-hoc duties as required.

Key Selection Criteria:

  • Experience with customer support or engagement.
  • Exceptional written and verbal communication skills.
  • A high level of attention to detail, planning and organisation skills .
  • Strong interpersonal skills with the ability to develop and maintain effective relationships with internal and external stakeholders and clients.
  • Ability to stay calm and solution focused when under pressure.
  • Ability to understand and work effectively within policies, procedures and systems, and to interpret and apply with a high degree of independence.
  • A high level of proficiency in Microsoft office packages.
  • Confidence in working with CRM and student management systems.
  • Ability to think outside the box, use initiative and create solutions which are in best interest of all stakeholders.
  • Ability to manage competing priorities and workflows within own area of responsibility when juggling multiple projects.
  • Ability to effectively problem solve.

A high level of attention to detail is essential to operate successfully in this position.
