About the Role:
Getz Healthcare Technical Services is seeking a highly organized and dedicated Service Coordinator to join our Services team. This role is key to ensuring the seamless operation of our service department, aiming to achieve optimal customer satisfaction and efficiency. You will be responsible for invoicing, customer inquiries, coordinating service requests, managing engineers' schedules, and assisting with stock control.
Key Responsibilities:
Service Coordination:
- Monitor and coordinate engineer schedules for efficient resource use and timely completion of service requests.
- Accurately invoicing customers in a timely manner and ensuring KPIs are met.
- Assist with contract renewals and liaise with Sales Specialist Service Contracts as needed.
- Prepare and maintain service reports, customer records, and other administrative documentation.
- Manage all service calls accurately and promptly, providing excellent customer service.
Customer Service:
- Receive and respond to customer service requests via phone, email, or other communication channels.
- Liaise with customers, engineers, and other departments to ensure service requests are completed efficiently and to the highest standard.
- Follow up with customers to ensure satisfaction with completed services.
- Maintain positive relationships with customers to ensure ongoing business and satisfaction.
Dispatch Duties:
- Manage inventory, including receiving stock and updating inventory lists.
- Coordinate logistic orders and transfers from the warehouse to customers.
- Organize the transportation of medical stock/equipment nationally and internationally.
General Duties:
- Submit suggestions and ideas on procedures and streamlining service processes.
- Escalate customer complaints as appropriate.
- Undertake ad hoc administrative duties as required.
- Support operations staff in the effective completion of tasks.
Key Competencies:
Essential:
- Excellent communication skills (written and verbal)
- Passion for customer service
- Completed HSC
- Experience in customer service or coordination
- Strong organizational and time management skills
- Strong interpersonal skills
- Ability to work in a fast-paced, team-based environment
- Analytical and problem-solving skills
- Proficient in Microsoft Office
- Adaptable and driven
- Experience with a service or ERP system
Desirable:
- Experience with M3, Agility, and MEX
Special Conditions:
- Current unencumbered full driver’s license
