Job Description
As a Project and Change Management Coordinator you will manage and prepare regular monitoring reports of our strategic programs and projects for our Leadership Team. Reporting to the Head of Governance and Risk, you will join our Group Life and Retirement business unit, providing administrative support on large projects and will work with other business units and work streams to ensure appropriate support is provided to the business.
This is a permanent role, working flexibly from our Sydney or Melbourne office.
In this role you will:
  • Prepare templates and artefacts using various software (e.g. MS Office Excel, PowerPoint, Visio,
  • MS Project)
  • Coordinate and at times, facilitate, project or program sessions to support population/updates to templates and artefacts
  • Capture and distribute review session outcomes and track actions to completion
  • Collate and review inputs developed by your leaders or Project/Program Managers
  • Produce ad-hoc reporting (including collation of program documentation) to demonstrate compliance with processes, support leadership team decision-making
  • Manage shared calendar and inbox, meeting invites and logistics
  • Support the timely collation and review of materials required for governance meetings
  • Financial management support, including purchase order management, validation of invoicing and accruals and SOW approvals
  • Onboarding, preparing materials and performing induction of new team members to the program
  • Maintain Project SharePoint sites including provisioning of user access
  • Develop and maintain knowledge of project, program, and portfolio management standards to support execution of key accountabilities
Qualifications
  • Knowledge and exposure to Project, Program and Portfolio Management
  • Strong administration skills
  • Strong Microsoft Office suite skills (Outlook, Word, Excel, PowerPoint) plus experience using Project, Visio and SharePoint
  • Highly organised and able to effectively prioritise
  • Strong communication skills
  • Pro-active and a self-starter
  • Strong attention to detail
  • Strong relationship development skills
