The Role                                                                                                

Based at our Braeside supersite, IVE Brand Activations is looking for an ambitious Project Manager to join our dynamic Project Management Team. Our Project Managers support the client-facing Account Managers to ensure they are free to continue to achieve our sales targets.  The Project Manager is pivotal to the success of the Sales team and includes liaising with our clients on day-to-day business, processing of jobs through to production and delivery to our clients.

Your primary responsibilities include leading the Exhibition and Expo project management process, from fabric printing and signage solutions, retail displays and event structures, to exhibition and activation solutions. You will deliver high standards including briefing, design development and documentation, tendering, production, fabrications/construction, and installations. You will be responsible for overall project management across multi-disciplinary teams, project administration and documentation, and monitoring and reporting against project plans, programs, and budgets.

Your main responsibilities:

  • Lead project teams that may include external consultants, contractors, suppliers, and internal teams.
  • Plan, coordinate, and execute all aspects of exhibitions, trade shows, and live events.
  • Collaborate closely with clients to understand their objectives and ensure expectations are met.
  • Coordinate with internal teams and vendors to deliver successful on-site experiences.
  • Develop and manage event budgets, track expenses, and ensure projects stay within budget.
  • Create detailed project timelines, monitor progress, and address delays or issues proactively.
  • Estimate labour requirements, including standby labour, and manage additional technical expenses.
  • Oversee on-site setup, logistics, operations, and serve as the primary point of contact.
  • Oversee the design and build process, ensuring quality and adherence to client specifications.
  • Manage logistics for installation and dismantle, coordinating with on-site crews.
  • Troubleshoot any challenges that arise throughout the project lifecycle.
  • Ensure client satisfaction through clear communication and proactive problem-solving.

Key requirements to be considered:

The position requires a person who can communicate at all management levels to ensure they can develop strong working relationships with key stakeholders within our client partnerships. 

  • Minimum 5 years of experience in project management, event management, trade show/expo production.
  • Create CAD files/Layouts from scratch.
  • Experience with Octanorm construction systems beneficial but not mandatory.
  • Proven experience in managing multiple projects simultaneously and meeting tight deadlines.
  • Excellent communication, interpersonal, and organisational skills.
  • Ability to build strong relationships with clients, vendors, and internal teams.
  • Proficient in planning, time, and cost management software (e.g., Teamwork, MS Project, Excel, etc) and communication tools.
  • Responsiveness to changing situations, and independently finding solutions.
  • A keen eye for detail and a passion for delivering exceptional results.

Bonus points:

  • Experience in the exhibition and expo industry.
  • Knowledge of design principles and construction practices.
  • Strong budgeting and cost-management skills.
  • A creative and solutions-oriented mindset.
