The Opportunity
TAMS has an exciting opportunity for an experienced and enthusiastic Project Support Officer to join our marine manning contract, located at Cape Preston.
About the Role
Our Project Support Officer will be working in a small team on a marine manning contract based in the Pilbara on a 2 weeks on / 2 weeks off day shift roster, 12-hour day (plus travel). The ideal candidate will have demonstrated experience in Project Support, including; rostering / scheduling, compliance management, HR support.
Key Responsibilities
- Recruitment and administration, including processing applications, data entry and uploading candidate documents to our HR system (OPMS)
- Booking pre-employment medicals and Drug and Alcohol screens, and processing completed paperwork
- Liaise with project and site contacts to ensure field crew comply with valid site qualification competencies including clearances, medicals, inductions, security and driver’s licences, training qualifications etc
- Maintain crew rosters, ensuring personnel flights, accommodation, hire cars are booked prior to mobilisation / demobilisation in a timely manner to not compromise operations
- Interact daily with site / Perth based colleagues to ensure all crew scheduling operates effectively and in line with regulatory compliance, contract KPI’S/ client requirements
- Notify personnel, site and project leadership members of mobilisation plans including flight and accommodation details
- Review employee time sheets and generate fortnightly reports for first stage payroll approval
- Review and approve crew expense entitlements in line with the Terms and Conditions of their employment
- Apply for site specific crew compliances (marine pilot exemptions, certificates of equivalence)
- Process project purchasing requests and maintain project purchasing database
- Assist Project Managers with the development of project specific documents and project outcomes
- Produce quotations, project invoicing along with the maintenance of project filing system and database
- Sino ONE compliance auditing
- Training crew on how to use Respiratory Protective Equipment and annual fit testing for half mask respirators
- Assist with daily unplanned tasks including town runs, dispatch and receipt of equipment
- Provide adhoc support to Project Managers and Support Officer
- Ensure the comprehensive handover of information between job share roles
About You
- 2-3 years’ experience in a similar role
- Marine industry experience and the understanding of regulatory compliance of governing marine bodies, highly regarded
- Experience using training, mobilisation software such as OPMS, ERMS Concur, SAP Success Factors, Definitv, Cintellate and Workflow, highly regraded
- Ability to develop and maintain professional and interpersonal skills with personnel across all levels within the business and stakeholders
- Ability to work autonomously and in a team environment, must be a team player with a strong work ethic and the ability to adapt to change
- Well-developed administration skills, strong attention to detail and time management skills
- Intermediate computer skills, proficient in Microsoft Office products
- Self-motivated and able to use own initiative to prioritise work and multi-task to meet shifting deadlines
- Maintain confidentiality when managing personal information
- Valid C Class Manual Drivers Licence – essential
