Who we are
NORSTA Maritime is the Regional Maintenance Provider (RMP) for both the North (RMP-N, Darwin) and North-East (RMP-NE, Cairns Head Office) regions, delivering project management capabilities, technical expertise and quality assurance activities for the Royal Australian Navy fleet.
Our advanced maritime sustainment planning coordinates fleet maintenance at scale across Far North Queensland, Northern Australia and adjacent waters for the Commonwealth of Australia.
Due to demand for our services, we are expanding rapidly and developing further capacity for more vessel platforms.
Note: This position requires Australian citizenship and the ability to obtain and maintain an Australian Government Security Clearance (minimum Baseline).
About the role (Cairns Head Office)
As Project Support Officer, you will support the planning and delivery of vessel operational services under the RMP-NE contract through the tracking, reporting and updating of project schedules and documentation as well as timely and accurate progress reports to key stakeholders.
RESPONSIBILITIES
Project Management
- Monitor, track, and update project schedules, including the Cost Collection Workbook.
- Report and communicate the execution status of all project stages.
- Provide progress reports to internal and external stakeholders.
- Monitor and track project documentation at various stages, ensuring proper filing and informing key stakeholders.
Workflow Administration and Coordination
- Maintain and update workflow administration, including meetings, actions, quotations, and status reports.
- Ensure all technical data and Objective Quality Evidence (OQE) are recorded and updated in documentation and workflow.
- Distribute job packs correctly with current drawings and instructions.
Finance and Commercial Support
- Ensure quotation of key project supplies is reported to Finance and Commercial teams.
- Assist the Finance team in monitoring and tracking project costs.
Administrative Support
- Maintain other necessary registers and reports.
- Support other data and administrative tasks as required.
- Perform other duties within the general scope of the role from time to time.
Team Support
- Assist members of various teams, including Support Services, Engineering, Maintenance, Project, and Supply Services, as required.
About you
You are a skilled and experienced project administrator with a background in either construction or maritime industries who may have had previous exposure to Defence requirements.
You are a professional who respects confidentiality and responds respectfully and appropriately in all situations.
You are a detailed and meticulous operator who works well in a team-based environment and values a positive workplace focused on achieving customer satisfaction.
You respond quickly to unexpected situations and will have on hand all the figures and deadlines that your team needs to progress the project.
Your skills include:
- High level computer literacy skills including knowledge of the Microsoft Office Suite including Excel and SharePoint as well as the ability to use or quickly learn various information data systems and platforms.
- Able to discern priority levels with the capacity to deal with multiple and often conflicting priorities.
- Effective written and verbal communication skills, with the ability to collaborate with a wide variety of stakeholders.
