The Property & Security team contributes to the success of IBA by providing high level customer service to all IBA operational and Program areas. Property & Security includes functions that Property leasing and services to IBA's offices across the country, physical security management and Emergency Management within the organisation.
This position sits within the Property & Security Management team with a focus on Property, Security and Emergency Management functions.
About the Role
The Property and Security Support Officer has the responsibility for a range of day to day office and security administrative functions.
The occupant of this position will be expected to maintain processes and procedures that ensure IBA employees, and the contingent workforce are supported. They will also contribute and assist in the coordination and support of Property & Security Project work.
The position reports to the Manager, Security and Continuity, with the Security and Emergency Management Officer providing daily work allocation and day to day guidance.
Duties
- Effective coordination and support of the day to day operational and building management services within IBA offices;
- Administration, ordering and coordination of office supplies, including stationary, tea, coffee and other items related to the Property & Security function;
- Administration of daily reception duties and mail;
- Liaise with internal and external stakeholders and contractors, meeting on site as needed:
- Administration and maintenance of the Property & Security intranet pages, making changes within 24 hours of notice of change;
- Provide advice and education on Emergency Management compliance within all of IBA offices, including nomination and training coordination of first aid officers and fire wardens;
- Logging and tracking of all work orders with both internal and external stakeholders. This includes the use of the One View system for work order management:
- Coordination of workstation allocation within the office;
- Responsibility of access controls within IBA offices following Heads up/Heads down notifications;
- Prepare access data as directed for Reporting purposes to the IBA Executive;
- Daily checks and clearing of alarms within the IBA security system;
- Providing specialist and administrative support to the Programs as directed;
- Property & Security project support as required;
- Maintaining sound records management protocols in accordance with IBA's record keeping guidelines.
- Prepare Indigenous Expenditure data to the IBA Risk and Assurance, as required;
- Research and analysis activities as required; and
Secondary duties (as required) include:
- Travel & Support Services Officer back up for travel and accommodation bookings;
- Information Management back up support, including Property & Security record keeping;
- ICT backup support; and Other duties.
Required capabilities:
These are essential unless otherwise indicated.
Knowledge and experience:
- Understanding of WHS requirements and ability to apply relevant principles and practices in the workplace; and
- Sound knowledge of MS Office packages, especially Outlook, Word and Excel.
Skills and attributes:
- Demonstrated ability to communicate, liaise and negotiate sensitively and effectively with stakeholders, including with Indigenous organisations and individuals;
- Demonstrated ability to organise, prioritise, monitor own workflows, maintain standards and deliver on objectives and deadlines; and
- Demonstrated initiative and ability to work independently.
