Saab, Inc. is hiring aProposal Coordinator that will be responsible for providing support, guidance, and expertise in preparation of complex proposals and related customer submissions for US Department of Defense (DoD), and other various agencies.

The location of this position is flexible; the successful candidate must have the ability to work remotely, or hybrid from our Syracuse, NY office.

On a daily basis, working with capture and proposal managers, you will be responsible for effectively coordinating and administering proposal team activities using corporate processes/tools within budget and time constraints; editing/writing; formatting of proposal documents; and developing corporate proposal library content, including original proposal images.

Responsibilities of this role include, but are not limited to:

  • Supporting proposals and business development initiatives in response to data calls, requests for information, requests for proposals (RFP), white papers, and market surveys.

  • Working with a capture and proposal manager, initiating and executing key proposal meetings and reviews including kick-offs, daily stand-ups, color teams, and lessons learned.

  • Analyzing RFP requirements, preparing compliance/capabilities matrices, milestone schedules, proposal template/annotated draft and outlines for proposal volumes, and cross-references matrices to meet proposal requirements.

  • Entering and monitoring proposal status data in our tracking tool, during all stages of proposal development.

  • Identifying and creating data calls and / or matrices needed for subcontractor teammates to meet RFP requirements, coordinating submission with supply chain.

  • Routinely developing corporate proposal library content including boilerplate, resumes, and past performance for use in proposals, data calls, RFI responses, proposal images, and other deliverables; and

  • Communicating progress with internal clients in a professional and timely manner.

  • Providing guidance to internal proposal team members new to Saab’s Win Business Capture – Proposal Process, which may include program managers, technical subject matter experts, and functional leads.

Compensation Range: $61,600-$75,500

The compensation range provided is a general guideline. When extending an offer, Saab, Inc. considers factors including (but not limited to) the role and associated responsibilities, location, and market and business considerations, as well as the candidate's work experience, key skills, and education/training.

Skills and Experience:

  • Bachelor's degree in a related discipline, such as marketing, writing/journalism, or communications and/or technical communications, is required.

  • 1+ years of business experience with a significant portion directly related to proposal development and project management.

  • Experience with DoD RFPs, or other federal government agencies.

  • Strong focus on analyzing and understanding RFP requirements and preparing documentation and proposal plans for kick-off meetings shortly after RFP release.

  • The ability to translate written content into tables and images using MS Office 365 applications.

  • The ability to work in a fast-paced team environment.

  • Self-motivated, creative, and focused on quality execution - managing projects and resources from beginning to end; overcoming obstacles as needed to meet or exceed all deadlines; checking in with proposal manager, supervisor and stakeholders to give progress updates.

  • Experience with the Shipley Win Business (capture and proposal) process a plus.

  • Proficient in Microsoft (MS)® Word®, MS Excel®, MS PowerPoint®, and MS SharePoint®.

  • Occasional travel may be required.

  • Ability to secure a security clearance.
