About the Group
The Partnerships and Engagement group leads and coordinates AIATSIS public engagement and communications works. This includes:
  • Providing access to the AIATSIS Collection and support clients undertaking Family History research.
  • Marketing, communication, content production, event management services and publishing.
  • Facilitating the return of Aboriginal and Torres Strait Islander cultural heritage material heldoverseas; and
  • Developing AIATSIS commercial revenue streams and partnerships to further our mission.

About the Program Area
Major Events and Public Programs (MEPP) sits within the Partnerships and Engagement Group. The team is responsible for the planning and executing of several flagship events to support the Institute in telling the story of Aboriginal and Torres Strait Isander Australia and shaping our national narrative. The team is also responsible for the delivery of Public Programs including hosting external and VIP visitors.
About the Role
The Public Programs Officer is a member of the Major Events and Public Programs team which is responsible for the management of Institute's public events including conferences, product launches, art market and other cultural events, and tour management.
The key duties of the position include
  • Manage the Institute's Public Program calendar including:
    • oversee venue and logistics with public program/event activity as directed by the Director CEP
    • manage and coordinate across a range of service providers to ensure a successful event and public program.
    • coordinate across AIATSIS and with AIATSIS staff to implement the public program activities.
    • administer events using Eventbrite and other online event tools.
    • produce draft event documentation including event briefs, risk management plans and CEO briefs for clearance.
    • assist with the preparation and monitoring of budget, project plans, and project reports.
This position must possess an ability to liaise with a range of stakeholders including Indigenous peoples, communities and/or organisations involved in the public program.
This position reports to Assistant Director, MEaPP.
The key responsibilities of the role include:
  • Coordinating AIATSIS events across the Public Program Calendar.
  • Coordinating with service providers and relevant stakeholders across public program activities to ensure successful outcomes.
  • Preparing draft documentation for public program activities.
  • Providing administrative support to the Director and Assistant Director including drafting CEO briefs and other documentation including reporting and Senate Estimate documentation.
  • Developing procedures and check lists associated with the organisation of internal and external events and AIATSIS tours.
  • Managing and updating the VIP stakeholder invitation list
  • Managing the Public Programs inbox and responding to enquiries within 24 hours.
  • Updating the AIATSIS Intranet events section to include internal and external events relevant to AIATSIS.
  • Other duties as required.
