Reporting to the General Manager, the Purchasing Administrator will be responsible for general administrative tasks supporting the Accounts, Sales, and Operational functions of the business. The focus is to ensure relevant processes are efficient and effective, whilst working in a supportive environment, to achieve timely and accurate results. This will be accomplished by establishing yourself as the first point of call for business administrative tasks and queries from both internal and external stakeholders through strong relationships and networks.

KEY RESPONSIBILITIES

Key Administrative Tasks:
 

  1. Maintain the Procurement processes managed directly by the business including but not limited to:
  • Ensuring the receipting of purchase orders are completed as efficiently and accurately as possible to meet internal and external payment deadlines.
  • Reconciling supplier statements for key accounts as and when required.
  • Raise direct Purchase Orders as and when required for hire items.
  • Liaising with the central Accounts Payable for any supplier and / or Baseplan issues.
  • Maintain effective communication with the General, Operations and Sales
  • Managers about the status of supplier accounts and purchases and identify / highlight shortfalls or missing information.
     

Work with the Accounts Receivable team on various administration tasks as and when required including but not limited to:

  • PPSR registrations and discharges for rental and customers.
  • Collating month end hours from various GPS Systems.
  • Reconciling cross hire charges to customers against supplier invoices to ensure margins are adequate.
     

Assist the operations team with various supporting processes including but not limited to:

  • Authorising and Posting completed Service Jobs.
  • Clearing and Cancelling Aged Purchase Orders and Service Jobs.
  • Data entry of labour time sheets from both contractors and employees.

2. Financial Management:

  • Assist the General, Sales and Operational Managers to make decisions that are in the best interests on the company.
  • Review and advise on margin guidelines including transport and cross hire rates for costs versus billings.
  • Ensure account issues with suppliers or any aspect of the purchasing process are brought to the attention of the General and Operational Managers in a timely manner.
  • Assist in the provision of reports on currently / monthly purchases, expenditure, and other relevant areas so that management have sufficient knowledge to make informed decisions.

3. Continuous Improvement:

  • Be an active part of the continuous improvement programs in accounts and administrative processes.
  • Where relevant, seek better process, systems and ideas to enhance business results and improve efficiencies.

4. Individual Management:

  • Excellent verbal and written communication skills.
  • Be an active member of a team culture that is premised on a balanced work ethic and quality.
  • Ensure you adhere to a stringent reporting process.
  • Ensure appropriate behaviours and values.
