Job description

You may be our new Quality and Environmental Systems Coordinator

The Quality and Environmental Systems Coordinator plays a crucial role in ensuring the effective implementation, maintenance, and continuous improvement of the organisation's quality management system (QMS), food safety management system (FSMS), and Environmental management system (EMS). This multifaceted role involves collaboration with various departments to uphold quality standards, food safety regulations, and Environmental sustainability. This role involves working closely with various departments to monitor compliance with Quality and Environmental standards, conducting internal audits, and facilitating the implementation of corrective and preventive actions.

Key Responsibilities:

Quality Management System (QMS):

  • Develop, implement, and maintain the organization's Quality Management System in accordance with relevant standards (e.g., ISO 9001).
  • Monitor and evaluate quality processes, ensuring adherence to established standards and continuous improvement.

Food Safety Management System (FSMS):

  • Develop, implement, and maintain the organization's FSMS in accordance with ISO 22000 or applicable food safety standards.
  • Oversee the identification, assessment, and management of food safety hazards.

Environmental Management System (EMS):

  • Develop, implement, and maintain the organization's Environmental Management System in compliance with applicable standards (e.g., ISO 14001).
  • Monitor environmental aspects, impacts, and sustainability initiatives.

Internal Audits:

  • Plan and conduct regular internal audits of QMS and EMS to ensure compliance with established procedures and standards.
  • Generate audit reports and work with departments to implement corrective and preventive actions.

Compliance Monitoring:

  • Plan and execute regular internal audits to assess the effectiveness of the QMS, FSMS, and EMS
  • Generate audit reports, track findings, and collaborate with teams to implement corrective and preventive actions.
  • Keep abreast of changes in regulations and standards, updating procedures accordingly.

Documentation and Record Keeping:

  • Manage documentation for the QMS, FSMS, and EMS, ensuring accuracy, completeness, and accessibility.
  • Facilitate document control processes to maintain compliance.
  • Ensure proper record keeping for audits, inspections, and management system reviews.

Training and Awareness:

  • Conduct training sessions to enhance awareness of quality, food safety, and Environmental policies, procedures, and objectives.
  • Provide guidance to employees on their roles and responsibilities within the management systems.

Continuous Improvement:

  • Identify opportunities for continuous improvement in Quality and Environmental performance.
  • Collaborate with cross-functional teams to implement improvement initiatives.

Communication:

  • Communicate effectively with stakeholders, providing regular updates on the performance of the QMS, FSMS, and EMS.
  • Act as a resource for employees seeking guidance on quality, food safety, and Environmental matters.

Risk Management:

  • Work with relevant stakeholders to identify and assess risks related to quality, food safety and Environmental aspects.
  • Develop and implement risk mitigation strategies to enhance organizational resilience.

Reporting:

  • Prepare and present reports on key performance indicators, metrics, and trends related to the QMS, FSMS, and EMS. 
  • Analyse data to identify areas for improvement and report findings to management.

Experience/Qualifications

  • Tertiary Qualification in a relevant field (e.g., Quality Management, Environmental Science, Food Science and Technology).
  • Certification in quality management (e.g., Certified Quality Manager, ISO 9001 Lead Auditor), food safety (e.g., HACCP, ISO 22000), and Environmental management (e.g., ISO 14001 Lead Auditor) is advantageous.
  • Experience in implementing and maintaining QMS, FSMS and EMS in a similar role is desirable.
  • Strong understanding of ISO standards, food safety regulations, and Environmental best practices.
  • Excellent interpersonal, communication, and organizational skills.
  • Ability to work collaboratively with cross-functional teams.
  • Detail-oriented with strong analytical skills.
