Re-wired Hand Therapy is one of the largest and most respected Upper Limb Rehabilitation centers in Melbourne. The Role
This position is Part-Time (preferably Mon - Thurs) and will be based in our East Melbourne clinic. Although with multiple clinics across Melbourne including East Melbourne, Murrumbeena, Hawthorn, Beaumaris, Dandenong, Berwick & Sunbury, we work as one cohesive team, providing support and enjoyment throughout.
As a Reception Team Leader you will be able to work independently, as the first point of contact for patients and referrers, as well as performing as part of the existing administrative team, spread across the other locations. You will liaise closely with the Accounts Administrator and the Clinical Leaders to ensure all aspects of the business are being managed efficiently.
Tasks & responsibilities
- Attending to phone calls, which includes booking of new patients, answering telephone enquiries and passing on messages to treating therapists.
- Managing the front reception desk so that each patient visit is a positive experience of the highest standard, including checking patients in and taking payments.
- Communicating closely with referring doctors to facilitate seamless service delivery.
- Taking minutes from staff meetings and distributing to all staff.
- Monitoring email communication and working collaboratively with the whole team.
- Liaising with TAC, Work Safe and Private Insurers to manage invoices and accounts for your designated clinics.
- General administration duties including filing, scanning, banking, stock orders and marketing.
- Collating and releasing medical record requests in line with company policy and procedures.
Qualifications & experience
- Highly developed communication and customer service skills, including excellent telephone manner.
- Previous experience in a allied health reception role is desirable, although not essential.
- Previous experience with NOOKAL (Practice Management Software), Medi pass, TAC, Workcover Vic, DVA, or HICAPS is desirable but not essential. However, you must have the ability to learn new computer systems quickly.
- The successful candidate will be well organized, with a high level of attention to detail. They will be able to manage a busy environment, multi-tasking and able to prioritize successfully.
- Self-motivated, with a positive attitude and strong work ethic.
- Experience with Microsoft Word, Excel, and Outlook.
