Our Receptionist & Bookings Coordinator sits at the heart and helm of our business and plays an integral role in delivering exceptional experiences for our clients; they are an extension of the Clique Creative brand and their customer service skills should be second to none. 

They will be responsible for all reception and office administrator responsibilities, including receiving, actioning and managing a high volume of client marketing bookings, photographer diary management, liaising with photo & video editors, customer service and general office coordination.

This exciting opportunity would suit someone who is a seasoned receptionist and customer service professional, who thrives at multitasking and can handle a fast paced workload. They must be a people person through and through, have exceptional phone & written etiquette and ideally experience in the real estate industry.

And while experience and skillset of the person for this position is very important to us, finding the right culture fit for our team and business is of equal importance. 

We are seeking a passionate, career receptionist and administrator looking for a long term home to join our team on a full-time basis, commencing immediately.

ABOUT THE ROLE

Reporting to our Operations Manager, you will be responsible for all reception and office administration responsibilities, including (but not limited to): 

  • Be the professional & friendly face of Clique Creative and the first point of contact for our clients
  • Respond to high volume of telephone and email enquiries from our clients, as well as greeting clients who visit our office
  • Daily distribution of Clique Creative real estate marketing material (photos, floor plans & videos) to our clients
  • Management of photographer and videographer bookings via email and phone
  • Management of photography and videographers’ diaries
  • The trouble-shooting and problem-solving of client concerns and queries, including diary, booking conflicts and editing requests.
  • General office housekeeping, including stationary order and other supplies as required, office organization, kitchen and bin duties 
  • Provide additional support to all Clique Creative staff including Photographers, Operations Manager, Business Development Consultant, Marketing Department & Directors daily.

REQUIREMENTS

  • Proved experience in a similar receptionist position essential, ideally within the property or real estate industries
  • Be energetic, enthusiastic and passionate about what the Clique Creative brand stands for, and have the confidence to share our story
  • Thrive in a fast paced environment, with high volume enquiries and bookings
  • Be an exceptional multitasker 
  • Be a team player and show up every day with an enthusiastic, positive and can do attitude
  • Be inspirational and relatable for our clients, have a strong sense of self and be well presented. The ability to build meaningful relationships with our clients is paramount.
  • Have exceptional communication skills, both written and verbal, and strong competency in Google Drive including Google Docs, Google Sheets, Acuity Scheduling and/or similar booking programs and general administration ideal 
  • Ability to work on own initiative
  • A strong work ethic and understanding of working within a small, close team
  • Have the ability to work autonomously while also being a team player
  • Good understanding of Adelaide and its surrounding suburbs 
  • Are excited about beautiful imagery and content!
