Job description

Role Description
Front Desk Management:
  • Greet visitors and clients in a friendly and professional manner.
  • Answer incoming calls and transfer them to appropriate personnel.
  • Manage incoming and outgoing mail and packages.
  • Maintain a clean and organised reception area.
Customer Service:
  • Assist visitors with inquiries and provide information about the company.
  • Handle customer complaints or concerns with empathy and professionalism.
  • Ensure all client interactions reflect positively on the company.
Business Support:
  • Provide admin and administrative support to the various departments as needed.
  • Schedule appointments and manage calendars for executives and staff.
  • Assist with data entry, scanning, filing, and document preparation.
Onboarding/Exit of Clients:
  • Coordinate the full onboarding/exit process for all clients, ensuring all necessary paperwork is completed accurately and in a timely manner.
  • Communicate with clients to gather required information and documentation for onboarding/exit procedures.
  • Collaborate with internal teams to facilitate a smooth transition for new and leaving clients into and out of our systems and processes.
ASIC Management:
  • Assist in the management of Australian Securities and Investments Commission (ASIC) compliance requirements.
  • Maintain accurate records and filings with ASIC, ensuring deadlines are met.
  • Liaise with relevant stakeholders to gather necessary information for ASIC reporting and compliance.
  • Co-ordinating the setting up of business structures, ABN, TFN, GST registrations as advised
  • Coordinate for stamping, signing off and storing a digitally signed copy on XPM
Office Coordination:
  • Coordinate office supplies orders and maintain inventory levels.
  • Arrange meetings and conferences, including booking rooms and arranging catering.
  • Proactive plan and organise gifts to clients and corporate functions as required
Qualifications
  • Phone etiquette, receptionist duties, and clerical skills
  • Excellent communication and customer service skills
  • Strong attention to detail and organisational skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to multitask and prioritise tasks effectively
  • Professional and friendly demeanour
  • Experience in a similar role is preferred
  • Knowledge of accounting or finance is a plus
