McLean McKenzie & Topfer is a law firm based in Burnie, offering legal services locally and across Tasmania. We specialise in litigation and commercial work.
We currently employ 12 staff, including our 4 directors, Colin McKenzie, Elizabeth Keene, James Dunn & Alexander McKenzie.
Position summary
As receptionist, you will be the first point of contact at McLean McKenzie & Topfer. You will be responsible for providing professional and efficient service to clients and other external contacts, along with assisting the Directors and other staff as required.
This position will lead into other legal assistant work within the commercial team after an initial period of training.
Key responsibilities
- Answering incoming calls, transferring calls and taking messages as required
- Greeting clients and visitors to the office
- Obtaining information from clients and collection of documents and identification
- Taking payments, including the use of EFTPOS machine and issuing receipts
- Word processing of documents
- Making appointments
- Use of photocopier, scanner and fax
- Collection of mail and groceries
- Set up of videolink equipment
- Opening and closing the office
- Maintaining daily rotation of server backups
- Responding to client enquiries via phone and in person
- Closing and opening files
- Filing
- Other duties relevant to your position, capacity & training.
Selection Criteria
Essential requirements
- Demonstrated excellent written and oral communication skills
- Attention to detail must be of a very high standard
- Well developed computer skills, particularly in Outlook, Word & Excel
- The ability to adapt and use initiative
- Work well under pressure
- Trustworthy and reliable
- The ability to work independently and unsupervised but also to work within a team environment
- The ability to switch between tasks and actively multitask by prioritising competing demands
- The ability to assist other staff members as required
- Excellent communication and time management skills
Desirable requirements
- Previous experience working in a law firm is desirable. However, training will be provided for this position.
