Mid-Western Regional Council are looking for two Records Officers to work within the team on a full time basis for 8 months (until the end of September 2024).
About the Role:
- To undertake all aspects of records management in relation to physical and electronic documents; including gathering, recording, dissemination, and disposal of corporate records;
- To follow the requirements of State Records, Local Government Act and Regulations, Council policy and procedures and records disposal requirements;
- To support the Records Coordinator in review of departmental procedures and to identify/communicate concerns or suggestions.
- To assist the Records Coordinator in conducting internal Records management training and use of the Records management System to all new and existing Council Office staff.
- Scan, profile document, register and distribution of incoming mail (postal, faxes and electronic) on a daily basis.
- File and document searches and creation of new files as required (electronic and hardcopy).
- Collection and distribution of Council’s hard copy files (both current and archive) from off-site storage location and register movement of such files.
- Assist with maintenance of Council’s hard copy and electronic records systems, both current and archive.
- Maintain the security and confidentiality of information by ensuring the access to records and the distribution of files is to authorised officers only.
- Attend training provided by State Records and other relevant authorities.
- Communicate effectively with members of the Records team and with council’s internal and external clients.
- Assist in sentencing and the destruction of files in accordance with the Local Government Records General Disposal Authority (GA39).
- Assist in other duties and projects as directed within limits of skills, qualifications and experience.
- Adhere to relevant Workplace Health & Safety policies and practices.
- Promoting and demonstrating the core values and behavioural requirements of the Workplace Environment Statement.
To be successful in this role you will have:
- A minimum of one year experience in records management
- Experience in the use of an electronic document management system
- Higher School Certificate or equivalent
- Knowledge of relevant records management and archiving legislation
- Class C drivers licence
- Understanding of the procedures for registering, classifying and indexing mail, the creation of files, handling legal documents, archiving and record retrieval.
- Ability to comprehend and précis documents
- Ability to recognise and handle confidential matters in a sensitive manner
- High level of accuracy and attention to detail
- Well-developed written and oral communication skills
- Sound computer skills particularly records management systems, email, Word, PDF and operating hardware such as printers and scanners
- Ability to prioritise and organise workloads to meet agreed deadlines
- Ability to work unsupervised and as part of a team
- Knowledge of workplace health and safety responsibilities and a commitment to attending relevant WHS training.
The salary range being offered for this position is $2343 - $2638 per fortnight (dependent on skills, qualifications
and experience) plus superannuation, a RDO every four weeks and
long service leave after 5 years.
