Wirrigan Group are an Indigenous Recruitment Agency supporting our clients to attract and a skilled workforce.

We currently have a contract opportunity for a Regional Administrative Support Officer based at Hamilton South for 3 months with possibility of extensions with a NSW State Government Entity.

Primary Purpose of the Role:

The Regional Administration Assistant will provide high-level, efficient administrative and clerical support and contribute towards the effective operation of the business unit.

Key Accountabilities:

  • Demonstrate leadership by role modelling collaborative behaviours, celebrating diversity, and supporting employee well-being.
  • Coordinate the maintenance of diaries for senior management, arrange meetings, training, and travel requirements to support operational efficiency.
  • Administer procurement activities, including raising purchase order requests and reconciling invoices for payment, ensuring compliance with regulatory and legislative requirements.
  • Distribute circulars and correspondence, including incoming mail and faxes, keeping managers and staff informed and enabling timely responses.
  • Create and maintain files and documents in compliance with records management procedures to ensure efficient tracking, storage, and retrieval of information.
  • Gather and collate data to support the preparation and production of key management reports, ensuring accurate and timely information for decision-making processes.

Key Challenges:

  • Balancing multiple administrative and clerical support activities within tight timeframes while maintaining accuracy and attention to detail.
  • Exercising discretion and maintaining confidentiality in handling critical and sensitive information.

Key Relationships:

Internal:

  • Manager: Receive direction, advice, guidance, and performance feedback.
  • Team: Participate in meetings, share information, and assist in achieving team objectives and work outcomes.

External:

  • Stakeholders: Respond to queries, identify needs, communicate services, and resolve or escalate issues as necessary.

Key Knowledge and Experience:

  • Demonstrated experience in providing clerical and Administrative Support services.
  • Experience in using software packages for preparing correspondence and reports.
  • Diary management experience is a must
  • 5 years’ experience in Administration
