Due to our company's growth, we are seeking a motivated and organised Administration Officer to join the dynamic IPS Research Team (RPE)
Key Responsibilities:
- Serve as the first point of contact for the IPS Research Team.
- Provide administrative support across all live projects.
- Assist in stakeholder management, including contacting stakeholders and booking interviews or group meetings.
- Aid in preparing tender applications, ethics applications, meeting agendas, and research reports.
- Support the IPS Research team by sourcing documents for desktop and literature reviews.
- Coordinate engagements by booking venues, organising catering, and tracking attendance.
- Take minutes for meetings, including focus group sessions, as required.
- Prepare document templates and manage digital filing.
- Maintain record keeping, including SharePoint folder management and data input.
- Perform general administrative tasks, including travel bookings, as directed by management.
Skills and Qualifications:
- Current Driver’s License.
- Advanced proficiency in Microsoft applications.
- Relevant Certificates (e.g., Cert II or III in Business Administration or IT, Cert III in Community Services).
- Experience managing team expectations and coordinating changing work priorities.
- Exceptional organisational and time management skills with attention to detail and high accuracy.
- Ability to work independently and as part of a team.
Communication & Interpersonal Skills:
- Communicate effectively with stakeholders, employees, government authorities, private companies, and the general public.
- Work collaboratively to nurture and develop a “One Team” culture across regions and geographical boundaries.
- Good negotiation and influencing abilities.
- Ensure integrity in all interactions with external parties.
Experience & Technical Skills:
- Proven ability to build relationships and manage multiple stakeholders.
- High levels of drive and self-motivation with a commitment to ethical work practices.
- Proficiency in using data, CRM, and project management systems.
- Ability to learn and master new systems and programs efficiently.
- Strong time management, organisational, and planning skills.
- Problem-solving skills for complex and sensitive issues.
- Strong writing and reporting skills.
