Sovereign Lives Victoria is registered NDIS Provider, and our aim is to deliver relevant supports to individuals and family who live with a permanent disability. We are currently looking for an experienced and qualified administrative assistant to work on weekdays in the Ballarat based office.
Qualifications required
- Certificate III or IV in Health care services or Business Administration or leadership and Management
- Other Equivalent qualifications
- First Aid and CPR
- NDIS worker Orientation Module
- Infection Control – COVID 19 Certificate
- NDIS Worker Screening Check (optional)
- COVID 19 Vaccinations
- Experience in rostering and administration job duties are preferred.
- Proficient use of new technology, MS word, Excel, emailing and CRM systems
Job duties and responsibilities

KEY RESULTS AREA – Roster Management Duties and Key Performance Indicators (KPI’s)
- coordinate the development of rosters for direct support staff that are compliant with rostering guidelines, staff availability and participants needs.
- provide support to direct support staff while they are performing shifts.
- Ensure that all components of the service delivery are appropriately managed.
- Ensure that rosters are cost effective and use of resources is efficient.
- Ensure workforce needs are monitored and liaise with Team Leader to replenish staffing resources, reducing the need to engage agency staff.
- Ensure all data in the rostering system is accurate and up to date and that all changes are actioned daily.
- Ensuring the quality of services rostered and delivered meets appropriate performance standards.
- Rosters are developed/amended daily to support continuity of care with consideration to NDIS client’s preferences and geographical location of those clients and direct support professionals.
- Rosters are developed in advance for each pay period and disseminated to relevant workers within agreed timeframes.
- All shifts are covered by appropriately matched staff.
- Queries on rosters are resolved promptly..
- Staff availability regularly updated and maintained in Caremaster system
- Rosters are cost effective and efficient.
- Workforce needs are regularly reviewed.
- Rostering data is accurate and up to date.
- Reduced number of queries regarding staff rosters & reduced number calls from families/carers.
- Shifts distributed on a fair and equitable basis.
- To attend formal and team meeting

Working Hours and Benefits
- Weekdays – shifts are rotating according to the following hours
- 9am - 2.30pm
- More hours may be applicable
- Wednesday & Thursday
- Support Working hours may be available, if you are qualified & experienced.
