About the Role
Due to sustainable growth, we are now recruiting for an experienced Office Coordinator to join our newly established Eagle Farm, QLD based office on a permanent, full-time position.
Reporting to the Office Manager-HSE Operations, the successful candidate will maintain and undertake monthly and ad-hoc Safety reporting requirements and collation of some presentations, reports, and papers ensuring a high level of accuracy.
The role will also be accountable for the management of travel, accommodation, and entertainment as well as meeting coordination and administration tasks within the Health Safety & Environment Operations team.
Key responsibilities
This role will involve the following key duties and responsibilities:
- Work closely with the Manager of HSE Operations to deliver seamless administrative assistance
- Prepare safety and sustainability reports, presentations, and papers that drive meaningful change
- Coordinate travel, accommodations, and entertainment for our team, ensuring smooth operations
- Manage correspondence effectively, providing timely responses and maintaining confidentiality
- Coordinate and administer various Safety & Sustainability administrative tasks as required
- Manage the flow of incoming and outgoing correspondence and initiate follow-up actions where necessary as well as screen phone calls, enquiries and requests; handling them when appropriate
- Organise and facilitate meetings including, video conferences and record and prepare minutes when required
Essential requirements
You will bring the following skills and experience to the role:
- Minimum 3 years experience working in an administrative role within a large organisation
- Proficiency in Microsoft Office and other relevant systems to streamline operations
- Ability to engage stakeholders with confidence, professionalism, and a commitment to exceptional service
- Ability to communicate effectively, both verbally and in writing, to convey ideas clearly
- Knowledge of Safety and Sustainability policies and procedures (Desirable)
