Hastings Deering (Australia) LtdAbout the RoleDue to sustainable growth, we are now recruiting for an experienced, permanent, full-time Office Coordinator to join our Eagle Farm, QLD office.
The successful candidate will provide administrative support to the Sime Darby Berhad (SDB) Executive Manager of HSE Operations and the HSE team.
The role will also be accountable for overseeing travel, accommodation, and entertainment bookings, as well as meeting coordination and administration tasks within the Health Safety & Environment Operations team.
Key ResponsibilitiesThis role will involve the following key duties and responsibilities:
Work closely with the Executive Manager of HSE Operations to deliver seamless administrative assistance
Prepare safety and sustainability reports, presentations, and papers that drive meaningful change
Coordinate travel, accommodations, and entertainment for our team, ensuring smooth operations
Manage correspondence effectively, providing timely responses and maintaining confidentiality
Coordinate and administer various Safety & Sustainability administrative tasks as required
Manage the flow of incoming and outgoing correspondence and initiate follow-up actions where necessary as well as screen phone calls, enquiries and requests; handling them when appropriate
Organise and facilitate meetings including, video conferences and record and prepare minutes when required
You will bring the following skills and experience to the role:
Minimum 3 years experience working in an administrative role within a large organisation
Proficiency in Microsoft Office and other relevant systems to streamline operations
Ability to engage stakeholders with confidence, professionalism, and a commitment to exceptional service
Ability to communicate effectively, both verbally and in writing, to convey ideas clearly
Knowledge of Safety and Sustainability policies and procedures (Desirable)
Certificate IV in Workplace Health and Safety (Desirable)
