Scheduler/ Workforce Scheduler

(36 hours per week - Mon/ Tues/ Fri/ Saturday and Sunday)

SensesWA is a leading not for profit organisation, with over 126-years’ history in providing disability services in Western Australia. Our purpose is to build capacity by providing comprehensive disability services and specialising in sensory loss, positive behaviour support and children’s therapies.

An opportunity exists for a highly organised and passionate Workforce Scheduler. As a member of our Scheduling Team, you will be responsible for the timely and effective allocation of Support Workers to Client needs and schedules. Using your exceptional people skills and passion for assisting our clients, you will assist in the scheduling rosters and handle daily shift changes as required. Reporting directly to the Customer Service Lead, you will be highly organised with the ability to multi-task in a fast-paced environment. Additional attributes like customer service and a positive approach to providing support to our clients and managers will be highly advantageous.

Snapshot of the Role

This is a Limited Term part-time position for 6 months initially, working Monday, Tuesday and Friday 8am to 4pm and Saturday and Sunday Work from Home from 12.30pm 6.30pm assisting our “Scheduling Out of Hours Support”. You will need to be available to work around these shifts. 

The shifts are regular on-going hours - averaging 36 hours per week.

You will need to be flexible to work from home between the hours of 12.30pm – 6.30pm Saturday & Sunday and occasionally on public holidays.

Key responsibilities include the following:

  • Coordinating client services and schedules via the Customer Relationship Management system to ensure that our clients receive the services they have requested and that where possible a compatible, regular and consistent support worker provides that service;
  • Monitoring and organising vacant shifts, clients changes and Public Holiday schedules
  • Maintaining data integrity in the CRM system;
  • Compiling reports and manipulating data;
  • Fortnightly meetings with key stakeholders; and
  • Participating in meetings to improve processes and workflows.

Skills & Experience

To be considered, we would ideally like you to:

  • Have a good understanding and exposure of workforce management systems, methodologies and principles;
  • Be personable, approachable, motivated and reliable with a can-do attitude;
  • Have a high level of attention to detail;
  • Have the ability to interpret and communicate relevant Agreements;
  • Be available to work weekends and public holidays;
  • Hold or willing to obtain NDIS Worker Clearance.

To be considered, you must:

  • Have proficient computer skills and be competent with MS Office and CRM systems;
  • Have patience and a desire to improve the lives of our clients and their families;
  • Have strong communication, organisational, problem solving and time management skills;
  • Have the ability to work independently and collaboratively in a fast paced environment.
