The role
This role provides high quality, professional, ethical, confidential executive and administrative support to the Manager and two Deputy Managers within Forensic Biology. You will ensure efficient office operations, effective communication, and seamless coordination of administrative processes within the Biology Division, managing competing priorities, providing consistently high levels of support involving short deadlines, maintaining confidentiality, discretion and cultural awareness.
Key responsibilities will include:
- Prompt and efficient email, diary and meeting request management
- Proactively identify and manage conflicting priorities, ensuring efficient use of time and ensuring leaders are supported
- preparing itineraries and making travel arrangements
- exercising assigned financial, purchasing, and administrative duties including expense and HR claims.
- Answer, assess and prioritise incoming calls and provide exceptional customer service.
- Assess and prioritise incoming general correspondence, to determine priorities and actions required
The successful person
- Proven high level interpersonal, verbal and written communication skills, with integrity, tact, ethics and confidentiality, with ability to effectively influence and negotiate with all levels of staff
- Proven experience in the provision of high-level executive support and administration services within a busy office
- Sound knowledge of the administrative processes and functions in a complex environment governed by policy and legislation; existing knowledge of financial, human resource, IT, information management, planning and reporting processes is desirable
- Highly developed organisational skills, including proactivity and the ability to accommodate continually shifting priorities in a high-pressure work environment, maximise efficiency and work output
- Demonstrated competencies in computer skills including the use of word processing, spreadsheets, Outlook, Content Manager, and other software packages
- Personal resilience and adaptability
About us
Located at Coopers Plains, Brisbane, FSQ operates specialised Forensic Biology, Forensic Chemistry and Forensic Operations functions that provides forensic services and expert advice to the Queensland Police Service (QPS) and the Coroner's Court of Queensland.
Forensic Chemistry provides testing evidence examination and reporting, oil spill comparisons and illicit drug analysis. It also performs commercial testing for certain groups. Forensic Biology provides analytical and advisory services principally to the Queensland Police Service in the areas of evidence recovery, DNA analysis and result interpretation culminating in expert advice and evidence.
Our work at FSQ involves exposure to material related to deaths and criminal offences that may be confronting, due to its graphic and personal nature. Sensitive and professional management of exhibits and information is a critical requirement of this role. The successful candidate will have personal qualities that include well developed resilience, tact and effective strategies for managing themselves and their ability to support colleagues in situations that may be distressing and stressful.
Please note that proposed legislative and structural changes may result in Forensic Science Queensland being moved to another agency within Queensland Public Sector.
