Drop of Life Psychology Clinic is a private practice that provides counselling and psychological services to children, adolescents, adults, couples, families and organisations in a confidential setting. Our clinic has been established on the Gold Coast for over 18 years.
Recently, Drop of Life expanded meaning we are now a multi-disciplinary clinic offering Dietetics, Breathwork, Yoga & Meditation services in addition to out already established services. As Practice Manager, you will be responsible for the smooth operation of each of these services, our clinicians and admin team.
About This Role:
Our clinic is expanding and we are looking for a Practice Manager to join the team. We are a busy, fast-paced practice wanting someone who can step up into the role and take on increased responsibilities as needed. With room for growth within the clinic.
Rostered Hours:
This is a full-time position offering 38 hours per week. The role may begin part-time for training purposes and increase to full-time. Candidate must be able to work flexible hours each week depending on client needs.
The Role Involves:
- Oversee day to day operations
- Rostering and managing admin
- Respond to and action demands from top management
- Develop and maintain office policies and procedures;
- Continually improve all aspects of the practice;
- Manage and reconcile accounts and debt management;
- Manage and process Payroll on Xero
- Schedule bookings and manage clinicians’ calendars through Halaxy Practice management system
- Working closely with our psychologist’s and assisting them with their administration needs
- Understanding ethical and professional requirements within psychology (e.g. understanding Medicare billing and reporting requirements)
- Responsible for reception duties; answering the phone, responding to emails, screening and intake of all new clients and Invoice companies for payment
- Overseeing Marketing team and assisting with basic Marketing tasks where necessary
Essential Criteria:
- Interest in Mental Health Industry
- Previous experience in an administration or Practice Manager role
- Highly organised and strong problem-solving skills
- Exceptional attention to detail
- Strong time management skills
- Work calmly under pressure when faced with multiple priorities (i.e liaising and communicating with face-to-face clients, taking calls and responding to emails at the same time)
- Proactive, flexible, and a can-do attitude
- Excellent verbal and social skills in communicating with a wide range of people, including people with mental health concerns.
- Excellent IT and computer skill
- Experience with Halaxy, NDIS, Medicare, Xero & Canva (preferred although not essential)
