About This Opportunity
We are seeking an experienced, motivated, energetic and highly organised Senior Administration Officer to support the effective and efficient operation of The Australian Research Council Centre of Excellence for Indigenous Futures (ARC-IFC)
Key Responsibilities Include:
Business Administration
Plan and implement high-quality administrative systems, standard operating procedures and office protocols.
Design and implement administrative/business processes, in consultation with relevant staff,
Undertake complex data entry, retrieval, compilation, visualization and management processes.
Maintain project records, including quarterly reports, IP registers and contracting documentation
Provide administrative expertise to support a range of activities to meet the identified business requirements.
Liaise with internal and external stakeholders to build and maintain relationships which support the operational objectives of the function/department.
Respond to complex or non-routine inquiries which may require interpreting policy, procedures and entitlements as relevant to the role.
Coordinate travel arrangements, including trip planning; travel administration and post-travel reconciliation.

Committee, Meeting and Event Support
Coordinate meetings, including liaising with key stakeholders/attendees, preparing committee documentation and ensuring meeting governance and protocols are maintained.
Support the successful delivery of events and other engagement activities, including conferences, summits and workshops
Organise seminars as required with the Centre’s Community Engagement & Events Coordinator, including liaison with key contacts and guest speakers.

Financial Administration
Undertake financial administration responsibilities, including exercising the appropriate financial delegation in accordance with University policy and procedures.
Reconciling business expenses against expense management system data and statements.

This is a full-time fixed-term position for up to 3 years.
At HEW level 6, the full-time equivalent base salary will be in the range $86,371.95 - $92,658.90, plus a generous super allowance of up to 17%. The total FTE package will be up to $101,055.18 - $108,410.91 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.
About You
Candidates require highly effective administration, coordination and interpersonal communication skills and demonstrate a commitment to providing a high level of customer service.
Aboriginal and Torres Strait Islander People are strongly encouraged to apply
A degree with subsequent relevant experience; or an equivalent combination of relevant experience and/or education/training.
Demonstrated skills in providing a high level of customer service, including excellent interpersonal skills and appropriate communications with Indigenous communities.
A high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook).
Office management skills and capabilities
Demonstrated ability to understand and apply a range of rules, policies and processes with regard to the regulatory and legislative context.
Excellent written and verbal communication skills.
Skills in project coordination.
Highly effective organisational, time management and problem-solving skills.
Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
