About the Role

*This is a Full Time Fixed Term 3 years Position*

The Senior Document Controller will maintain the accuracy of all project registers and information systems, monitor the distribution and reconciliation of formal document distributions, issue and track location on documents, ensure timely review of documents. This is a key role within the project in ensuring that critical Departmental Governance and Compliance standards are met and maintained as well as ensuring that key project revision milestones are passed.

Position Outcomes / Accountabilities

  • Coordinate workload within the team to ensure that Project documents are controlled and processed in accordance with the agreed timeframes established with the Project Team.
  • Manage end to end coordination of Data Item submissions for Internal review.
  • Coordinate and set priorities on multiple work requirements to meet deadlines.
  • Develop sustainable relationships with key internal and external stakeholders to meet their expectations and manage different working styles and personalities.

Key Selection Criteria

To be successful in the role, the ideal candidate will possess strong project delivery skills, coordinating tasks effectively, monitoring progress, and taking corrective action as needed. They will demonstrate accomplished digital literacy, integrating technological advancements into service delivery with a balanced focus on technology and strategy. Additionally, adept interpersonal skills will enable them to detect underlying concerns, present genuinely, and leverage understanding to achieve optimal outcomes for individuals and the organization. Technical proficiency in project and program governance, as well as electronic records management, will be crucial for ensuring compliance, managing audits, and mitigating organizational risks effectively.

Personal Attributes

On a personal level, the candidate will be highly flexible and adaptable, comfortable with changing priorities and collaborating with teams outside their organization. They will excel in working collaboratively, fostering a supportive team environment, sharing information, and providing support in challenging situations.

Qualifications and Experience

Mandatory

  • Experience in document control management, preferably in a project environment, including for technology or public transport projects.

Desirable

  • Document control and / or management experience to support business activities, preferably in relation to the management of a service contract or technology project.
  • A relevant tertiary qualification in project management or business management is highly regarded
