Job description

Job Overview:

As a key member of the project management organization, the Senior Document Controller will play a crucial role in ensuring the effective management and control of documents and correspondence through Oracle Aconex. This role encompasses the maintenance, implementation, and administration of Aconex, along with providing support to other functions in Aconex Cost and Oracle P6 Cloud, especially API integrations between systems. The Senior Document Controller will be pivotal in maintaining the integrity and accessibility of documents, which is essential for the successful development and delivery of Equis renewable energy project portfolio.

Key Responsibilities:

  • Oversee the administration and maintenance of Aconex, ensuring optimal performance and compliance with project and organizational standards. This includes managing document transmittals, revision status, numbering structures, and correspondence types such as RFIs, TQs, Letters, NCRs, etc.;
  • Collaborate with IT and project management teams to support API integrations between Aconex, Aconex Cost, and P6 Cloud. This involves troubleshooting issues and working on enhancements to improve system interoperability;
  • Develop and deliver comprehensive training programs for internal stakeholders and contractors on using Aconex, focusing on standard document and correspondence control specifications. This includes a "train the trainer" approach to ensure widespread proficiency across projects;
  • Implement and monitor quality control measures for document and correspondence management to ensure accuracy, completeness, and compliance with project requirements;
  • Provide ongoing support to project teams in document control practices, ensuring efficient and effective communication and documentation flow;
  • Continuously identify and implement improvements in document control processes and systems to enhance project efficiency and data integrity; and
  • Act as the primary point of contact for all matters related to Aconex within Equis Australia. Collaborate with project teams, IT, contractors, and other stakeholders to ensure cohesive document and correspondence control practices.

Qualifications and Skills:

  • Minimum 5 years’ experience in information technology, business administration, engineering, or a related field in Construction or Engineering;
  • Proven experience in document control
  • Strong technical proficiency in Aconex, including its integration capabilities;
  • Experience with API integrations, SharePoint and Power BI;
  • Excellent training and presentation skills, with the ability to effectively communicate technical information to non-technical audiences;
  • Strong problem-solving skills and the ability to work collaboratively across different teams; and
  • Detail-oriented with strong organizational and project management skills.
