We are currently seeking a dynamic and experienced Senior Medical Administrator to join our team as our Second in Charge (2IC). This pivotal part-time role will involve working across our Port Douglas and Mossman sites, providing administrative support, overseeing daily operations at the front desk, and assisting the Practice Manager in ensuring smooth and efficient practice functioning.
Both of our well established, busy, modern, mixed billing, fully computerised medical centres are GP owned, AGPAL accredited and are recognised RACGP & ACCRM training practices.
Being located next to Pharmacy and shops with on-site pathology, we offer a fantastic working environment with 10 Doctors, 5 nurses and supporting administration and reception staff working between both.
Key Responsibilities:
- Greet patients warmly and assist with check-in/check-out procedures
- Schedule appointments and manage the appointment calendar efficiently
- Handle patient inquiries in person, over the phone, and via email
- Coordinate patient referrals and liaise with healthcare providers as necessary
- Oversee the reception team, providing guidance, training, and support as needed
- Assist in managing inventory, ordering supplies, and troubleshooting and maintaining equipment
- Ensure compliance with medical confidentiality and data protection regulations
- Handle billing tasks, including processing payments and insurance claims
- Collaborate with the Practice Manager to implement and improve office policies and procedures
Qualifications:
- Formal qualifications in medical administration or related field desirable
- Proven experience in a medical receptionist role, with at least 5 years of experience
- Leadership qualities and the ability to manage, motivate and mentor staff
- Excellent communication and interpersonal abilities
- Strong organisational skills and attention to detail
- Ability to multitask and work well under pressure in a fast-paced environment
- Knowledge of medical terminology and procedures
- Proficiency in medical office software and computer skills
- Proficiency with Xero, Pracsoft and Medical Director an advantage
The successful applicant must be able to work during school holidays and weekends if required and have flexibility to cover personal and annual leave. Shifts range between 7 to 10 hours in duration, between the hours 7am to 6pm.
This position will be required to work a minimum of 4 shifts per week.
