About the companyThe Royal Australasian College of Surgeons (RACS) is a not for profit, membership-based organisation leading the way in surgical performance, professionalism and patient care in Australia and New Zealand.With service to our members at the forefront of our business, we support ongoing learning and development for our surgical workforce of more than 7,000 surgeons and 1,300 surgical trainees and Specialist International Medical Graduates.RACS is on an exciting journey to transform the way our members engage with us by making improvements across many aspects of the College - from learning and development to technology and governance. We are focusing on collaboration and innovation to better serve our members and to enhance the contribution of surgeons to the community. About the roleYou will provide high level coordination into the Annual Scientific Congress (ASC) and effectively manage scientific programs for delivery.• Effectively coordinate educational programs in consultation with section conveners including speaker liaison and travel/accommodation arrangements.• Working closely with the C&E leadership team to design and implement strategic solutions aimed at enhancing the ASC, including overseeing budgetary matters to ensure the ASC's financial sustainability.• Manage ASC section dinners with designated C&E team member.• Oversee and coordinate ASC business meeting requirements, including bookings, audio-visual set up and catering.• Prepare relevant reports for internal and external stakeholders.• Participate in internal and external meetings and other activities as required to provide expert advice on ASC related matters.• Manage external suppliers for program coordination, such as audio-visual technicians and others.• Ensure that post ASC reporting and analysis, relating to congress activities undertaken can be utilised to improve each event.• Provide onsite support, as the primary contact, during key events, including supervision of staff and volunteers.• Assist with revision and management of contracts for venues, suppliers, and service agreements.• Manage and foster relationships with senior stakeholders and affiliated organisations.• Attend organising committee meetings as the primary contact and provide regular updates through agreed reporting timelines.• Identify appropriate social activities to complement external events, whilst assisting with the on-site planning and transport schedules and the management of a cost recovery budget so program is self-funding.• Manage administrative tasks and staff during ASC.After-hours work is a requirement of this position. Working arrangements and approvals for these after-hoursSkills and experience • Proven experience in program management, showcasing expertise and proficiency in coordinating and overseeing multifaceted initiatives and projects.• Demonstrated stakeholder management skills and ability to coordinate senior stakeholder.• Sound written and verbal communication skills with the ability to communicate clearly and confidently.• Excellent interpersonal skills and ability to relate to people at all levels.• Ability to research and analyse information, effectively problem solve and offer sound advice within the scope of service.• Demonstrated ability to prioritise a diverse workload and multi-task with a strong ability to manage conflicting deadlines and work under pressure efficiently.• Attention to detail and a high level of accuracy.• Flexibility to respond during peaks of workload.• Resilience and an ability to be agile.• Ability to work with minimal supervision.• Experience working with member-based organisation / not for profit is desirable.BenefitsAt our organisation, we are proud to have a positive impact on improving health outcomes in the community.
