Job Opportunity -
The Hire & Service Administrator is responsible for managing the administration of our busy service department. With hire equipment constantly moving and customers relyinging on us to keep down time to a minimum, it is also important that you can provide effective, productive and efficient customer service. To thrive in this position, you will enjoy providing great customer service and working in a busy team environment. You will have excellent time management skills and be very well organised with high attention to detail. This is a highly responsible position where others will rely upon your accuracy and competency.
Job requirements
- Receive damaged items returned from hire, tag for repair and mark as unavailable on board and on database systems
- Gather all the information required, including customer details, what the problem/ issue is and when it occurred
- Create repair orders
- Obtain customer purchase order numbers when required
- Allocate a technician via Job Watch to the job, allocate their time to the job
- Co-ordinate any parts required. Order parts, receive picking slip, enter the invoice for the parts allocating them to the job
- Once repair has been completed, review the work order, document the description of the repairs completed and close the repair order
- Confirm if repairs are chargable, create and send customer invoices if applicable.
- Collect customer payments for cash customers or obtain customer acknowledgement for account customers
- Change status of item as available for hire once work has been completed both in database and on the board
- Ensure work in progress report is monitored on a daily basis ensuring jobs are closed as soon as the work has been completed
- Submit Weekly RO Status Report to Operations Manager, at the end of each week
- Maintain service records for each item of plant, uploard and store in plant id card in database and QR code on the company website
- Generate Plant Assessor Hazard Risk Assessments for each item of plant
- Manage scheduled servicing for excavators
- Work with Hire Controller, to ensure the hire system is up to date. Ensure all company hire equipment is marked as unavailable for hire when they are undergoing servicing or repair work
- Assist with managing the part inventory
Candidate Requirement
- 2+ Years within Service Admin or Service Support
- Strong attention to detail with excellent organisational skills
- Strong Administration skills
- Passionate and highly motivated
- Team player with excellent customer service experience
If you have used the MSC data base system this would truly amazing and would give you a huge step up into this position as it’s the main operating system.
Salary Package
The package is highly negotiable depending on experience and will come down to your experience and understanding of the Hire industry. You will be given training, support and staff development but also be rewarded with a great team working culture and team nights out.
- Base Salary – $80,000 - $90,000
- Superannuation – 11%
- Training and company uniform
- Car Park space
Hours of work are 7:30 to 4:00pm this can also be changed to suit your needs.
