The role:

The Student Admissions Officer is a member of ANZSOG’s Education Pillar that is responsible for the Executive Master of Public Administration program, non-accredited executive leadership programs and micro-credentials, and supports faculty and stakeholder engagement for program design, compliance, and quality assurance.

The Student Admissions Officer plays a crucial role in collaborating with ANZSOG’s Engagement and Experience team to support the conversion of prospective interest in ANZSOG’s executive leadership programs into registrations.

The role will efficiently manage the admission of participants/students into executive programs in Education and Advisory, and provide related administrative support covering student enrolment, records management, information provision, and general administrative tasks related to program course enquiries. The position requires a proactive and detail-oriented individual who can thrive in a dynamic educational environment.

The Student Admissions Officer reports to the Deputy Director Education Programs. The primary focus of this role is to transition potential students into enrolled participants of ANZSOG’s suite of executive leadership programs. Collaborating with internal stakeholders across Education, Advisory, and Engagement teams is a key area of this role as it supports specialised marketing efforts aimed at promoting programs and courses designed to enhance executive leadership development within the public sector.

This is a full-time position on an ongoing contract. Salary range is $80,000 - $90,000 per annum.

Hybrid working model of three days at our Melbourne Connect office in Carlton, and two days from home. 

Responsibilities:

  1. Admission and Enrolment:
    • Liaise with colleagues in the Engagement and Experience team to respond to expressions of interest by providing relevant and timely program specific information and enrolment process support and for non-routine queries.
    • Facilitate the enrolment process for new students, ensuring all required documents are collected and accurately recorded into the system (Salesforce).
    • Compile prospective student pricing and account information.
    • Compile prospective student invoicing information and work with Finance Department to raise invoices,
    • Maintain Program’s inbox, answering EOIs for all Education programs and maintaining EOI data accordingly.
  2. Administrative Support:
    • Provide support to ensure ANZSOG student administration processes and systems that are used to record accurate information, and to facilitate timely and accurate reporting,
    • Assist with administration of prospective student information within the student management system in line with required policies and procedures ( Salesforce) 
    • Assist coordinating informational events, workshops, and other activities related to ANZSOG’s courses and programs.
    • Provide other administrative support including answering phones inquiries from external and internal teams, managing Education team inbox and responding to emails, and assisting with day-to-day operations of the Education team.
  3. Records Management:
    • Maintain accurate and up-to-date student records, including attendance, and other relevant information.
    • Generate reports on student performance and progress as needed for administrative purposes.
  4. Communication:
    • Serve as a point of contact for student inquiries, providing information on ANZSOG programs, schedules, and other relevant details.
    • Collaborate with internal and external stakeholders to ensure effective communication channels and relationships are established and maintained.
    • Coordinate program notifications to enrolling students and participants.
  5. Collaboration:
    • Work closely with academic staff, instructors, and other team members to foster a positive and collaborative learning environment.
    • Collaborate with the finance department to process student payments and maintain accurate financial records.
  6. General Education team administration:
  • Provide support to the Deputy Director (Education) to ensure ANZSOG student administration processes and systems are effective and efficient,
  • Identify operational issues and provide feedback to revise and improve existing policies that underpin the operation and integrity of ANZSOG programs 
  • Document procedures for new and existing systems, including new releases, enhancements, to ensure consistency in application usage.
  • Support Education team and ANZSOG with projects and initiatives, broadly. 

Other duties as may be assigned to you from time to time. This may include undertaking different work across ANZSOG teams during peak periods.

Key Selection Criteria:

  • Relevant qualification in education, business administration or similar, and 2-3 years relevant working experience, or equivalent education and experience,
  • Previous experience in student administration, adult education or related role delivering high quality processes and services, is advantageous.
  • Experience in enrolment processes using Salesforce. Proficiency in office software (e.g. Microsoft Office Suite)
  • Strong organisational and time management skills. 
  • Excellent communication skills and interpersonal skills. 
  • Experience working in or with the public sector will be highly regarded. 
  • Ability to understand and explain applications data and write reports for internal stakeholders, 
  • Well-developed problem-solving skills.
