Who we’re looking for
As a Senior Document Controller, you will play a crucial role in managing and organising critical company documents. Your responsibilities will include ensuring the accuracy, quality, and integrity of documents and records, safeguarding information, and optimising data retrieval processes. Dedicated to maintaining seamless document access and adherence to the document life cycle process, you will apply your skills to:
- Manage all aspects of document control, including filing, scanning, indexing, storing, retrieving, archiving, and destroying documents.
- Oversee the intake, handling, and storage of documents and records to maintain the accuracy and integrity of organisational documentation.
- Review documents before they are released to ensure compliance and ensure that company policies and regulations regarding document control are being met.
- Review, approve, and reject documents based on content, format, and adherence to company guidelines.
- Proactively identify opportunities for process improvement within the document control framework, contributing to the enhancement of efficiency, accuracy, and overall success.
- Coordinate change control processes to track revisions, updates, and approvals of compliance across the company.
- Create and maintain applicable processes within the Business Process Mapping software.
- Safeguard sensitive information and ensure compliance with retention policies.
- Communicate updates to keep the business informed about new document versions.
- Collaborate with stakeholders to address document control needs.
- Completion of key system tasks as directed.
- Assist with the maintenance of training modules, slides, videos, and tools.
- Assist in training and awareness sessions on systems processes.
The successful candidate will be a self-starter with:
- Proven minimum three years’ experience working as a Document Controller, preferably in a senior role, or similar.
- Extensive experience and proficiency in the use of document control systems, software, and tools.
- Proficient use of information technology.
- Experience in maintaining company documentation to ISO and legislative requirements.
- Strong attention to detail and organisational skills.
- High level of collaboration ability and communication skills, both written and oral.
- Willingness to accept delegated tasks and responsibilities with a positive attitude.
- Construction industry experience is preferred.
