Your new role
Reporting to the Principal, Investments Business Management, the Team Coordinator - CIO Office will be responsible for the smooth running of the CIO Office, including providing administrative support for the Deputy CIO and CIO Office senior leaders.
Key responsibilities include:
- Administrative support including diary management, domestic and international travel, monthly credit card reconciliation, preparation of presentations and formatting of Board papers.
- Coordination of meetings with internal and external stakeholders for the broader CIO Office.
- Attendance at various team meetings including drafting of agenda and co-ordination of minutes and action items as required.
- Enhance and implement department processes and procedures.
- Work closely with the investments administration team on issues and initiatives impacting across the Domain.
- Facilitate and encourage standard administration practices across departments and teams via the Team Coordinator network.
- Maintain filing systems and file registers including the management of CRM and meeting / trip notes.
What you'll need
- High level of attention to detail.
- Excellent interpersonal and communication skills and the ability to work effectively with a range of people at all levels.
- Demonstrated ability to work under pressure, setting and managing multiple conflicting priorities within specified time frames.
- Demonstrated ability to manage a senior executive's office and administrative staff, co-ordinate tasks, set priorities and operate independently.
- Excellent stakeholder relationship skills, proven ability to initiate, maintain and manage relationships with peers, with the objective of gaining cooperation and meeting timelines for the delivery of advice.
- Well-developed written and oral communication skills including proven experience in dealing with confidential and sensitive issues and ability to develop and maintain rapport across all organisational levels.
- Experience in the development, maintenance and review of office support systems and procedures.
- Advanced user of MS Office applications.
