As a result of business growth, an opportunity has arisen for an experienced Administration Team Leader (Financial Planning) to join this business in the Northern Beaches, NSW.
The responsibilities are multifaceted, incorporating:
Organising and coordinatating administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness, communication and safety to ensure a positive team culture and the long-term success of the Admin team.
Main Duties/Responsibilities:
- Assist in the onboarding process for new hires
- Oversee day-to-day office operations
- Coordinate staff employment including leave coverage
- Ensuring the practice building and workspaces are conducive to a safe and practical work environment
- Liaise with BMP Wealth Practice Managers to maintain consistent and effective practice operations and procedures
- Coordinate the booking of client appointments for financial advisers.
- Prepares review folders for advisers and client documentation for client meetings.
- Preparation of Advice documents for presentation to clients. including provisions for application and other documentation.
- Compliance of Ongoing Service Agreement and Fee Disclosure Statements.
- Liaise with adviser, client & platform to ensure smooth implementation of client's application.
- Ensure all Compliance requirements are adhered to.
- Implementation of Strategy recommendations.
- Preparation of general correspondence to clients and insurers.
- Maintenance of new business register.
- Update policy information including addition of new clients, updated policy details and general notes in XPLAN.
- Update of client personal information on XPLAN and where required with Platform.
- Collection of policy history and record keeping of telephone conversations with platform and clients.
- Scanning of incoming and outgoing correspondence.
- Maintain policy cancellation.
- General administrative support to Financial Adviser, adhere to their requirements in a prompt manner and provide quality of work standard.
- Ad hoc buy/sell trades
- Ad hoc duties when required – reception, mail collection & distribution, tea/coffee making for clients
Ideal skills and qualifications
- 5 or more years of experience in Financial Planning Administration
- Previous Team Leadership experience preferred
- Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
- Proficiency with office applications, and aptitude for learning new software and systems
- Ability to maintain confidentiality of company information
- experience in financial management, accounting systems and reporting processes
- the ability to demonstrate and encourage leadership and teamwork
- the ability to build customer and stakeholder relationships
- excellent communication and documentation skills
- Experience using XPLAN desirable
- Attention to detail and problem solving skills
